JOB OVERVIEW

Role Overview

Our client is a US-based multi-location anti-aging and wellness franchise, now at 75+ centers and still opening new markets. Their marketing CRM, a GoHighLevel instance built in-house, is the system every franchisee depends on to capture leads, book appointments, and convert prospects into patients. It syncs continuously with Zenoti, the platform that takes over once a lead becomes a patient. When that CRM does not work, the whole franchise system feels it immediately.

This role supports the person who built that system. The client's GoHighLevel product manager currently owns the platform's technical direction, its build work, its ticket queue, and its data, all at once. This hire takes the recurring and tactical half of that load so the product manager can focus on lead generation, conversion strategy, and growth.

There are two halves to this job, and the client cares about both.

Run the engine. Own the CRM support ticket queue and the recurring maintenance cycle that keeps 75+ GoHighLevel sub-accounts clean: sync troubleshooting, pipeline corrections, user access, workflow debugging, and the weekly, monthly, and quarterly maintenance calendar. Build out new sub-accounts, workflows, and landing pages as new centers open.

Improve the engine. Run A/B tests across the consumer booking journey, report on what is converting, take proactive ownership of the AI workflows and agents inside the platform, and flag where the system itself can be built better. There are ten ways to do most things in GoHighLevel, and the way something was built first is not always the way it should stay.

The client has been explicit that this is not a ticket-taking seat. They want someone forward-thinking enough to notice what can be improved and confident enough to say so.

Franchisee contact is written only. All communication runs through the ticketing system and is supervised by the product manager. No phone calls, no video, no direct franchisee meetings. Franchise owners are entrepreneurs running their own P&L and they are direct, so this role needs professional written etiquette and a reasonably thick skin.

Current Workload

The client tracks its CRM tickets, and these are their actual figures rather than estimates:

-Roughly 165 CRM tickets logged since January, averaging four to five per week.
-GoHighLevel-to-Zenoti webhook and API sync breaks are the largest category at about 30% of all tickets, running around two per week.
-Pipeline and trigger misfires, such as a no-show being converted to a patient, come in at one to two per week.
-User access and account creation requests are frequent but fast to resolve.
-New sub-account builds take four to five hours each and happen as new centers open.
-Service target: acknowledge within the hour, resolve the same day where possible.

The ticket queue alone does not fill a full-time seat, and that is deliberate. The remaining capacity goes to system builds, AI workflow management, testing, and analytics, all of which are currently under-served because the product manager has no time for them.

Key Responsibilities

CRM Support and Ticket Resolution

- Sync and integration troubleshooting: diagnose leads and patients not syncing between GoHighLevel and Zenoti, resolve broken webhooks, duplicate profiles, reconciliation mismatches, and API-related data gaps. This is the single largest source of tickets.

- Pipeline and opportunity stage management: fix leads landing in the wrong pipeline stage, duplicate opportunities, contacts stuck in a stage, and automation triggers that fire incorrectly or not at all.

- User access and account administration: set up new users, manage sub-accounts and permissions across all franchise locations, and resolve login issues.

- Workflow and automation configuration: build and debug automated messaging sequences, correct contacts landing in the wrong workflow, handle DNC and STOP compliance, and clear system-generated workflow error alerts.

- Messaging, SMS, and calling support: resolve numbers flagged as spam, dropped calls, blocked texts, A2P 10DLC registration issues, and voicemail drops.

- Lead data integrity and notification reliability: audit and correct duplicate, missing, or misrouted lead records, and make sure new-lead and Google review notifications reach the right inbox.

- Reporting and campaign requests: pull custom reports for franchise owners, schedule and send SMS and email campaigns, import lead lists, and build forms and snippets.

- CRM billing administration: handle platform subscription charges, card updates, and payment failures.


System Builds and Configuration

-Build out new sub-accounts when a center moves from Pre-Opening to active: sub-account setup, phone numbers, initial workflow set, connections, and landing pages, tested end to end before the location opens.

- Build and rebuild workflows, landing pages, and funnels as the system evolves.

-Test every build thoroughly. The client's standard here is exacting: what gets set up needs to be right, and confirmed to be right, before it goes live.


AI Workflow and Agent Management

- Take proactive ownership of the AI workflows and agents built inside the GoHighLevel platform. Today these are only fixed when a franchisee reports something wrong.

- Monitor and tune AI auto-responder behavior: correct wrong answers on address or services, toggle AI on and off per location, and adjust persona.

- Identify where AI capability could be extended or improved rather than waiting for it to break. The client sees significant unrealized upside here.


Data, Analytics, and Testing

- Own A/B testing across the consumer booking journey: design the test, set it up, measure the result, and form the hypothesis for the next round. This work is currently fragmented and stop-start because of workload.
- Produce a regular reporting rhythm, daily or weekly, on what is converting and what is not.
- Build conversion tracking, speed-to-lead reporting, and custom data exports.
- Bring analysis, not just numbers. The client wants someone who can say what the data means and what to do about it.
- Track the GoHighLevel roadmap and relevant industry trends, and flag features or approaches worth adopting.

Qualifications

Non-negotiable

Hands-on GoHighLevel experience already in hand. Building and debugging workflows, pipelines, automations, sub-accounts, and landing pages. The client will teach their specific build, their SOPs, and how their system is wired. They will not teach the platform. Comparable CRM or marketing-automation experience does not substitute for direct GoHighLevel depth.
Genuine data capability. Able to read campaign and funnel performance, interpret it, and recommend action. This role is not filled by a strong administrator with no analytical instinct.

Required

- Experience troubleshooting data sync between a CRM and a separate scheduling or POS system. Direct Zenoti experience is a strong plus given how often this comes up.
- Working knowledge of SMS and calling compliance: A2P 10DLC registration, carrier spam-flagging, and how to get a number un-flagged.
- Experience configuring or tuning an AI chatbot or auto-responder inside a CRM.
- Comfortable administering access and permissions across many sub-accounts in a multi-location environment.
- Strong written communication. This role is delivered almost entirely in writing to non-technical franchise owners and front-desk staff.
- Comfortable using AI tools as part of a daily workflow. The team already works this way and expects the same.

Preferred

-A/B testing experience on conversion funnels, booking flows, or landing pages.
-WordPress experience.
-General API and integration familiarity, such as Zapier, webhooks, or Power Automate.
-Experience executing marketing campaigns, including SMS and email sends and lead list imports.
-Background in healthcare, med-spa, wellness, or another multi-location franchise industry.

Ideal Candidate Profile

-Methodical and detail-oriented. Sync issues, account cleanup, and new builds take patience and process, not guesswork. -Work is tested end to end before it is called done.
-Forward-thinking. Notices when something has been built inefficiently and raises it. The client actively wants to be told there is a better way.
-Analytically minded. Curious about what the numbers say, comfortable forming a hypothesis and testing it.
-Quick to learn and quick to connect the dots. The system is large and interconnected; the value is in understanding how the pieces talk to each other, not just following steps.
-Thick-skinned and professional in writing. Franchise owners are direct, occasionally blunt, and always in a hurry. The right person stays even, clear, and unbothered.
-Self-directed. Comfortable holding a maintenance calendar and a testing agenda without being chased, while a reactive ticket queue competes for attention.
-Compliance-minded. Comfortable with the regulatory detail behind SMS and calling rules and data privacy.
-Ambitious. There is real room to grow here. The scope of this seat is expected to widen for someone who proves they can operate at that level.
