JOB OVERVIEW

Business Operations Coordinator

We are a US-based e-commerce furniture and home décor business that is seeking an organized, proactive, and detail-oriented Business Operations Coordinator to support our day-to-day operations. This is a hands-on, varied role that touches logistics, inventory and product management, customer service, and marketing support.

The ideal candidate is a strong communicator, comfortable working with data and technology, and able to manage multiple priorities independently. This position is well suited for someone who enjoys problem-solving, keeping things organized, and seeing tasks through from start to finish.

Key Responsibilities

Logistics & Order Management

Work with vendors to track orders and production timelines.
Obtain shipping and freight quotes and help select the appropriate carrier.
Coordinate and schedule shipments with carriers and delivery partners.
Track shipments through delivery and troubleshoot delays or issues.
Keep customers informed about production timelines, shipping status, and delivery.

Inventory & Product Management

Add new products to the e-commerce website, including product information, pricing, images, and options.
Complete weekly inventory updates and data uploads.
Update product pricing as needed.
Remove or disable discontinued products.
Review product and inventory data for accuracy and identify discrepancies.

Customer Service

Respond to customer inquiries by phone and email regarding product availability, order status, shipping, and general product questions.
Coordinate non-furniture returns with customers and vendors.
Follow up with customers who have requested product samples.
Respond to trade and designer inquiries and provide appropriate follow-up.
Provide friendly, professional, and timely communication throughout the customer experience.

Marketing Support

Create, schedule, and publish social media posts for Facebook, Instagram, and Pinterest.
Assist with basic marketing content, promotions, and other marketing initiatives as needed.

Required Skills
Proficiency in Microsoft Excel and/or Google Sheets, including sorting, filtering, basic formulas, and working with spreadsheets and CSV files.
Strong written and verbal communication skills.
Excellent organizational skills and attention to detail.
Strong general computer skills and ability to learn new software and systems quickly.
Ability to manage multiple projects, deadlines, and customer conversations simultaneously.
Comfortable working independently, taking initiative, and following through on tasks.
Willingness to track and log daily hours worked accurately using time-tracking tools (e.g., Time Doctor, Hubstaff) as well as a shared Google Sheet, as required by the employer.
High level of integrity and accountability — this role is remote and largely unsupervised, so honest time reporting and reliable, focused work during logged hours is essential.

Preferred Skills
Experience using AI tools such as ChatGPT to improve productivity, communication, research, and day-to-day workflows.
Experience with an e-commerce platform such as BigCommerce, Shopify, WooCommerce, or similar.
Experience using Canva to create or edit basic marketing and social media content.
Comfortable following up with customers by phone, not just email, when needed.
Previous experience in e-commerce, retail, furniture/home décor, logistics, or customer service is a plus.
Compensation

This role pays $5–$8/hour USD, depending on experience and qualifications.

Hours

Preferred business hours are 9:00 AM–5:00 PM Central Standard Time (CST), with availability during these hours to communicate with customers, vendors, and other business partners.

What We're Looking For

More than anything, we're looking for someone who is reliable, resourceful, organized, and willing to learn. You should be comfortable moving between different types of work—from following up with a vendor about an order, to updating a spreadsheet, to answering a customer's question, to preparing a social media post.

We are looking for someone who works diligently and honestly during their logged hours, and who takes care to get details right the first time. Accuracy and attention to detail matter as much as speed — mistakes in inventory, pricing, or customer communication have real business impact.

This is a broad role with the opportunity to learn many aspects of running and growing an e-commerce business.

How to Apply

We are a US-based e-commerce business, and we're looking for someone who reads carefully and follows instructions precisely — this is a strong predictor of success in this role.

To apply, email with the subject line: "Detail-Oriented and Ready — [Candidate Name]"
Applications without this exact subject line will not be reviewed.

In the body of your email, please answer the following questions in order, numbered 1–10:

What is your current or most recent role, and how long were you in it?
Describe your experience with Excel or Google Sheets — specifically, have you used filtering, sorting, VLOOKUP/basic formulas, or worked with CSV files? Give a concrete example.
Have you worked with an e-commerce platform (Shopify, BigCommerce, WooCommerce, etc.)? If yes, which one and what did you do on it (product uploads, inventory, pricing, etc.)?
Describe a time you had to track down information from a vendor or third party (a shipment, an order, a quote) and follow it through to resolution. What happened?
Describe a time you handled a customer complaint or a difficult customer interaction by phone or email. What did you say and how did it resolve?
Have you created or scheduled social media content (Facebook, Instagram, Pinterest)? If yes, what tools did you use (Canva, native scheduling, etc.)?
Do you have experience using AI tools like ChatGPT in your daily work? Give one specific example of how you've used it.
Confirm your availability to work 9:00 AM–4:00 PM Central Time (CST), Monday–Friday, communicating with a US-based team.
Given the posted range of $5–$8/hour, what hourly rate are you seeking, and why do you feel that reflects your experience?
This role involves working independently with logged hours and no direct supervision most of the day. What personally motivates you to stay focused and do accurate, honest work when no one is watching?

Finally, somewhere naturally within your application, include the phrase "organized and proactive" — this confirms you read the full posting.

Applications that do not follow these instructions, or that appear to be copy-pasted templates, will not be considered. Following instructions precisely is a core part of this role — it's how you'll track vendor timelines, update inventory, and communicate with customers day to day.
