About Us
We run a fast-growing French fashion e-commerce brand, curating timeless, elegant clothing and accessories for women who value quality over trends. Our customers are discerning French women who shop with intention, and they keep coming back. This is a real, revenue-generating business with consistent sales, a loyal customer base, and serious growth ambitions heading into Q4 and beyond. We move fast, stay ahead of fashion trends, and make data-driven decisions every day. If you want to work in an environment where your work directly impacts results, and where no two days are the same, you'll fit right in.
The Role – Supply Chain Specialist
We're looking for someone who wants to own our logistics and supplier relationships, not just track a spreadsheet. Here's how it actually works day to day: you monitor every order from placement to delivery, catch shipping problems before they turn into customer complaints, and keep our suppliers accountable when things go wrong.
You work closely with our Customer Service Rep. You own the logistics and supplier side, while they own the customer relationship, and neither of you crosses into the other's lane without coordinating. You won't be talking to customers directly, but the work you do determines whether they ever notice a problem in the first place.
You'll also have our AI-assisted system for decision support, so the tool helps with the wording while you make the call. This is a long-term position with real ownership: you'd be the only person running this function, reporting directly to me, with room to grow into more hours and more responsibility as you prove yourself.
Responsibilities
- Monitor all open and in-transit orders daily across Shopify and CWILL, catching shipping exceptions before they turn into customer complaints.
- Escalate fulfillment delays, stuck shipments, failed delivery attempts, and address issues to suppliers using our templates, and follow up until resolved.
- Process returns, refunds, cancellations, damaged and wrong-item cases with suppliers, and keep the Returns & Refunds sheet accurate and up to date at all times.
- Flag anything customer-facing to our CS Rep: you keep them informed so they can update the customer.
- Chase unanswered supplier messages in Slack and escalate to me when a supplier goes quiet for 48+ hours on something important.
- Reconcile supplier invoices for refunds and cancelled orders.
- Submit a weekly report and join a short weekly review call with me covering orders, exceptions, and recurring issues.
Requirements
- Proven experience in supply chain, logistics, fulfillment, or e-commerce operations (state how many years).
- Comfortable working independently across multiple systems (Shopify, CWILL, Slack, Excel) without close supervision. You'll be the only person running this function.
- Sharp attention to detail: you're maintaining a live returns & refunds sheet and supplier documentation that needs to be accurate, every day.
- Confident in communicating directly with suppliers in English, including chasing delays and pushing firmly for resolution.
- Comfortable using AI-assisted tools (like Claude) for decision support.
- Reliable high-speed internet and a backup power/internet plan.
- Available during the hours listed above, consistently.
- Looking for a long-term position, not a short-term gig.
What We Offer
- A stable, long-term role with real ownership. Not a one-off project, and not micromanaged.
- Fixed weekly schedule and predictable pay.
- Growth path to more hours and more responsibility over time.
- A department that's still being built. Your input on how we track tickets and structure the workflow directly shapes how we work.
- A weekly 1:1 call with me to review the week, unblock anything you ran into, and keep improving the process together.
- On-time payment via EasyPay (Payoneer/PayPal).
