JOB OVERVIEW

Xtra Mile Coverage is a growing U.S. commercial trucking insurance agency. We help owner-operators, hotshot drivers, box-truck businesses, and trucking fleets get the coverage, certificates, filings, and service they need.

We are hiring a reliable, detail-oriented Virtual Assistant to help keep our client service and follow-up process moving fast.

Your main responsibilities:

• Follow up with trucking-insurance leads by email, text, and phone
• Respond professionally to current clients and collect needed documents
• Request and organize loss runs, MVRs, vehicle information, driver information, and policy documents
• Help process certificate-of-insurance requests and endorsements
• Update client notes, tasks, and statuses in our CRM
• Communicate with insurance carriers, MGAs, and underwriters using approved templates
• Keep follow-up lists organized so no lead or client request is missed
• Assist with renewal outreach and customer-retention follow-up
• Complete basic FMCSA/SAFER research and data entry when needed

You will NOT be expected to sell insurance, give coverage advice, quote pricing, bind policies, or make decisions that require an insurance license. You will support our licensed agency team and use our approved processes.

Requirements:

• Excellent written and spoken English
• Strong customer-service and follow-up skills
• Highly organized and comfortable working with deadlines
• Comfortable using Gmail, Google Drive, spreadsheets, and CRM systems
• Able to work independently, communicate clearly, and ask questions when needed
• Prior insurance-agency, trucking, dispatch, freight-broker, or logistics experience is strongly preferred
• Must have a dependable computer, internet connection, and quiet work environment
