PahRoo Appraisal and Consultancy is a Chicago-based real estate appraisal firm serving residential and commercial markets in Illinois and Texas. We work with appraisal management companies (AMCs), direct lenders, and private clients.
We are looking for someone who is organized, proactive, detail-oriented, and comfortable taking ownership of a busy operational workflow.
About the Role
As our Appraisal Operations Customer Service Representative, you will help keep our appraisal order pipeline moving and our clients informed.
You will be responsible for making sure new orders are set up correctly, active orders are monitored closely, potential delays are identified early, reports are checked before delivery, and clients receive timely and accurate updates.
This is not simply a queue-management role. We are looking for someone who takes ownership of deadlines, notices problems before they become urgent, and communicates early when something is at risk.
Approximately 20% of the role involves outbound appointment setting, so you should also be comfortable making phone calls and communicating directly with property contacts and clients.
What You’ll Do
Receive new appraisal orders and accurately enter and set them up in our order management system.
Monitor active appraisal orders daily and identify anything at risk of missing a deadline.
Communicate professionally with clients regarding order status, timelines, delays, and changes to due dates.
Perform quality-control checks on appraisal reports before they are delivered to clients.
Identify errors or missing information that should be corrected before a report reaches the client.
Deliver completed appraisal reports through client portals using the required format and process.
Review daily due-date volume against team capacity and raise potential workload concerns early.
Contact property representatives, clients, and other relevant parties to schedule appointments.
Maintain accurate records and clear documentation throughout the order process.
What We’re Looking For
At least 2 years of experience supporting U.S.-based operations or customer service.
Demonstrated coordination or project-management experience, including responsibility for managing a pipeline of work and keeping deadlines on track.
Strong attention to detail and the ability to maintain accuracy while handling a high volume of work.
Strong written and spoken English.
Confidence communicating with U.S.-based clients by phone and
Working knowledge of CRM or workflow-management systems.
Proficiency with Microsoft Office, including SharePoint and OneDrive, as well as Google Workspace.
A proactive working style—you identify risks and communicate them early rather than waiting for someone to follow up.
Remote Work Requirements
Because this is an independent contractor position, you will need to provide your own equipment and reliable work environment.
You must have:
A computer with at least 8 GB RAM.
Windows 10 or newer, or a currently supported version of macOS.
A noise-cancelling headset suitable for client calls.
Reliable primary internet with a minimum speed of 25 Mbps.
A backup internet connection, such as mobile data, in case of outages.
A quiet, professional home workspace.
A backup power plan for brownouts or power interruptions during your working hours.
