What Winning Looks Like
Every active project has one owner, a WBS, a schedule, and a status in ClickUp that matches reality.
No critical component is ever coin-flipped: crew confirmed with a backup day, gear planned, vendors tracked with proof of progress weeks out.
The team runs on the system — Connect Team, EOD reports, ClickUp, SOP-first — and the SOPs move from "In review" to "Validated."
Deliverables ship on time at the counts sold, and every one has cleared the QC tracker before the client sees it.
The founder gets one weekly view: what shipped, what is at risk, and your recommendation — never a pile of problems.
Nothing operational routes to the founder by default.
Your First 30 Days
Days 1–7 — Extraction & Baseline. Interview the founder and every team lead. Audit every active project: WBS against ClickUp, crew and gear status, open client items, critical components at risk. Read the playbook and every SOP, noting which are validated and which are not.
Days 8–14 — The Pipeline. Install the weekly pipeline review. Fix WBS-to-ClickUp drift. Put one owner and one date on every open item. Deliver a prioritized list of what is leaking time, money, or momentum.
Days 15–30 — The Operating Rhythm. Set the internal pre-production meeting cadence, the crew confirmation standard, and the vendor tracking standard. Validate the ten SOPs the team touches most. Present the founder the first weekly ops view and your 90-day plan.
Key Responsibilities
Pipeline: Own the production pipeline end to end. Confirmed events in within 24 hours. Every project staged, scoped, and scheduled before planning begins.
Pre-production: Run internal pre-production meetings. Shooting schedules from the client run of show. Equipment planning. Crew confirmed with a backup day. Call sheets out early.
Crew & vendors: Confirm, brief, and hold crew to the Production Policy. Track every vendor to the deadline with proof of progress. Invoiced hours match Connect Team.
Communication: Enforce the communication lines: up and then over, one owner per thing, client communication through the project lead. Model the three-channel, daily-until-received standard.
Quality & delivery: Own the video review tracker. Nothing ships without the QC pass. Revision rounds and scope creep handled as the changes they are.
Systems & SOPs: Own the operations manual. Turn recorded processes into SOPs, move SOPs to Validated, and retire the ones the team has outgrown.
People: Run training assignments and onboarding. Screen and coordinate hires. Process contractor payments on payday.
Reporting: One weekly operations view for the founder with insight and a recommendation.
What You Bring
5+ years running operations, production management, or project management in a production company, agency, events business, or other deadline-driven services company.
Proven ownership of a multi-project pipeline with remote crew and contractors.
Fluency in ClickUp or an equivalent PM system, and the discipline to keep it matching reality.
Vendor and crew management with a track record of catching problems weeks out, not days.
Clear, direct written and verbal communication; comfortable holding people to the standard.
Familiarity with video production is a strong advantage. You do not need to shoot or edit, but you need to understand what the editor needs from the shooter and what the client was promised.
Who You Are
You are an owner of outcomes, not a scheduler of tasks. You look people in the eye and tell them they are your bottleneck. You check in daily and it does not feel like nagging to you, because the alternative is a project quietly dying. You dig when something sounds too good, and you never take a vendor’s word for it. You can take a company that runs on the founder’s memory and make it run on a system.
How To Apply
Reply with your resume, a one-paragraph cover letter, and a Loom video (max 5 minutes) explaining why you are the right Operations Manager for RDM.
