Reports To: Finance Manager
The Operations Coordinator supports Estimators and Project Managers with day-to-day operational and financial coordination, using strong knowledge of company procedures to keep each project's finances and legal documentation accurate and on track. This role ensures project data is properly documented within company software systems and upholds the organization's commitment to integrity, accountability, and excellence.
Job Tracking
• Ensure accuracy and integrity of legal documentation and storage for each lead received
• Handle daily procedures, including new loss, contracts, job start, job scheduling, billings (progress and final), account-specific updates, emergency services job updates, funding research and communication, and warranty calls
• Handle weekly procedures, including job updates, cash out, funding research, collections, and final statements
Reporting and Communication
• Prepare the weekly Finance Department scorecard
• Answer multi-line phone calls and direct them to the appropriate personnel
• Assist other departments as directed to support job success and customer satisfaction
• Attend department-level and companywide meetings as required
Process and Data Management
• Maintain and consistently enforce company procedures throughout the organization
• Ensure the accuracy of data across all relevant systems
• Ensure all legal documentation is received and properly stored for the designated retention period
• Maintain proficiency across all relevant software programs
Qualifications
Required
• Associate's or Bachelor's degree
• 3 or more years of experience coordinating teams and tasks across different departments
• Strong ability to multitask across competing priorities
• Proven ability to work professionally with senior executives and clients, think and work independently, be proactive, and handle confidential information effectively
• Excellent customer service skills
• Strong problem-solving abilities
• Exceptional knowledge of Outlook, Excel, and Word
• Superior writing and editing ability
• Excellent communication and interpersonal skills
Preferred
• Background or exposure to finance, accounting, invoicing, billing, or related tasks is a plus
• Experience in project management and project coordination is a great plus
