Job Title: Senior Purchasing & Order Fulfillment Specialist (3–5+ Years Experience Required)

Schedule: Full-Time (40 hrs/week) | Monday – Friday, 9:00 AM – 5:00 PM CST

Location: Remote (Offshore Independent Contractor)

Role Overview:

We are seeking an experienced, detail-obsessed, and articulate Purchasing & Order Fulfillment Specialist with a proven track record in vendor procurement and order management. You will serve as the operational backbone of our fulfillment process—placing purchase orders, auditing complex artwork proofs, tracking shipments, and resolving vendor discrepancies. You will work closely with our Sales & Production Coordinators and Director of Operations in a supportive team setting.

Key Responsibilities:

Purchase Order Processing: Accurately submit, manage, and audit purchase orders (POs) across various vendor portals, websites, and email channels.

Proof Audit & Verification: Inspect vendor artwork proofs to ensure they match approved client mockups, product colors, dimensions, and imprint locations before approving production.

Shopify Fulfillment & Tracking: Update order records in the Shopify backend, attach tracking details, and monitor vendor production timelines against customer deadlines.

Vendor Phone Calls & Claims: Place phone calls to vendors to negotiate order details, track down urgent shipments, or manage complex cases regarding vendor errors, misprints, damages, or credits.

Cross-Functional Operations: Collaborate verbally and via text with our U.S.-based team and internal Coordinators on ClickUp, stepping in to assist with administrative tasks during lighter order windows.

Qualifications & Requirements (Mandatory):

Mandatory Experience: 3–5+ years of verified past experience as a Purchaser, Buyer, Procurement Specialist, or Purchase Order Coordinator.

English Fluency: Exceptional written and spoken English. You must be confident and clear on phone calls with U.S. vendors and during team check-ins.

Software Experience: Proficiency with ClickUp, Shopify backend, Google Workspace, and web-based vendor platforms.

Uncompromising Detail: Exceptional ability to audit artwork proofs, numbers, addresses, product SKUs, and purchase orders without missing a single detail.

Work Setup: High-speed, reliable internet, a quiet working environment, and a clear headset/microphone for phone calls (U.S. phone line software provided by STX Promo).

Schedule & Availability: Dedicated commitment to work 9:00 AM – 5:00 PM CST, Monday through Friday.

Industry Experience: Background in the promotional products industry is a strong plus.

Benefits & Compensation Package:

Competitive Base: Starting rate of $8.50 USD/hour

13th-Month Pay: Guaranteed annual 13th-month bonus paid around the holidays.
