Job Summary
We are looking for a highly organized, proactive, and dependable Executive Assistant to the CEO to support executive priorities, coordinate company initiatives, and help ensure important projects and responsibilities continue moving forward.
The ideal candidate is detail-oriented, resourceful, professional, and comfortable working in a fast-paced environment with changing priorities. This person will work closely with the CEO and collaborate with different departments across the company.
The right candidate should be able to anticipate needs, manage multiple responsibilities, follow up without being reminded, and take ownership of assignments from start to finish.
As the Executive Assistant to the CEO, your tasks will include, but not be limited to:
Managing the CEO's calendar, meetings, appointments, and scheduling priorities
Coordinating internal and external meetings with team members, clients, vendors, partners, and other contacts
Managing conference and event logistics, including registrations, schedules, accommodations, transportation, itineraries, and meeting coordination
Coordinating business travel and preparing detailed travel plans and schedules
Preparing the CEO for meetings by gathering reports, notes, background information, and other supporting materials
Taking meeting notes and documenting important decisions, action items, deadlines, and responsibilities
Following up with team members and department leaders on outstanding CEO requests, deliverables, and deadlines
Helping ensure action items assigned during meetings are completed on time
Coordinating operational projects involving multiple departments
Tracking sales team performance, including activity, outreach, appointments, proposals, quotas, and other sales metrics
Preparing recurring sales reports, dashboards, and executive summaries
Identifying missed targets, overdue tasks, outstanding action items, and issues requiring the CEO's attention
Organizing executive tasks, notes, documents, and priorities using company software and project-management systems
Assisting with executive correspondence, emails, follow-ups, and communications as requested
Drafting internal communications, meeting agendas, reports, presentations, and executive documents
Conducting research and gathering information to support business decisions, partnerships, projects, and new opportunities
Coordinating with vendors, partners, clients, and other external contacts on behalf of the CEO
Assisting with expense documentation, receipts, invoices, reimbursements, and other executive administrative needs
Maintaining organized and confidential company, employee, client, and executive information
Assisting with recruiting, onboarding, and company initiatives when needed
Coordinating company meetings, leadership meetings, conferences, dinners, networking events, and client activities
Monitoring important deadlines and proactively reminding the CEO and responsible team members
Anticipating scheduling conflicts, upcoming priorities, and potential operational issues
Serving as a communication bridge between the CEO and different departments when appropriate
Keeping the CEO informed of important developments, unresolved issues, pending decisions, and upcoming deadlines
Helping maintain accountability across projects and initiatives assigned by the CEO
Handling special projects and new opportunities as they arise
Performing other tasks as assigned by the CEO
Nice to have:
Previous experience supporting a CEO, founder, executive, or senior leadership team
Experience working in a fast-paced agency, startup, or entrepreneurial environment
Strong calendar management, scheduling, and organizational skills
Experience coordinating conferences, events, executive meetings, or business travel
Strong written and verbal communication skills
Experience preparing reports, spreadsheets, dashboards, and performance metrics
Experience supporting sales teams or tracking sales KPIs
Experience using Google Workspace, Slack, spreadsheets, and project-management platforms such as
Strong attention to detail and ability to manage multiple competing priorities
Ability to work independently with minimal supervision
Strong follow-through and accountability
Resourceful problem-solving skills
High level of discretion when handling confidential information
Ability to adapt quickly when priorities change
Confidence communicating and following up with employees, department leaders, clients, and external partners
