Appointment Follow-Up Specialist / Meeting Coordinator!

We’re looking for a smart, organized, highly communicative, and naturally bubbly person to join our team as an Appointment Follow-Up Specialist.

Our team books meetings with leads and potential clients, and your job will be to make sure those appointments actually happen.

You’ll be responsible for following up with people who have meetings booked with our team, keeping them engaged, confirming their appointments, answering basic questions, and helping reduce no-shows.

What You’ll Do:
- Follow up with leads who have scheduled meetings with our team
- Confirm upcoming appointments and make sure the lead is still planning to attend
- Send timely reminders before scheduled meetings
- Follow up with people who haven't responded
- Build a friendly and positive relationship with leads
- Reschedule meetings when necessary
- Keep our CRM/calendar organized and up to date
- Track follow-ups and make sure no lead falls through the cracks
- Communicate any important updates or issues to our team
- Help improve our overall show-up rate

- Comfortable communicating with people through chat, email, and potentially phone
- Confident and professional when speaking with leads
- Persistent without being pushy
- Quick to learn new systems and processes
- Reliable and responsive
- Able to manage multiple conversations and appointments at once
- Someone who takes ownership and doesn't need to be constantly reminded what to do

IMPORTANT: English Skills Are Critical!

You must have near-perfect English communication skills.
We communicate primarily with English-speaking clients, so we need someone who can communicate naturally, confidently, and professionally.
If your English is heavily dependent on translation tools, this position is probably not the right fit.

Experience:
- Previous experience in any of the following is a strong plus:
- Appointment setting
- Lead follow-up
- Sales
- Customer service
- Virtual assistance
- CRM management
- Scheduling or appointment coordination

However, personality, communication skills, intelligence, and organization are more important to us than having a specific job title on your résumé.

The Ideal Person:
You are the type of person who:
- Sees a meeting on the calendar → knows it needs confirmation → follows up → gets a response → updates the CRM → notices another lead needs attention → handles it without being asked.
You don't just wait for instructions. You think ahead.
You also genuinely enjoy talking to people and have a personality that makes people feel comfortable.

Pay:
