JOB OVERVIEW

Position Summary

The Logistics – Cores Agent is responsible for managing the end-to-end lifecycle of "core" parts and units — defective, used, or returnable components exchanged as part of BGSN's field service, warranty, and repair operations. This role ensures cores are accurately tracked, promptly returned to vendors or repair depots, and reconciled against contractual timelines to avoid billing penalties, lost credits, or inventory shrinkage. The agent works closely with field technicians, warehouse staff, vendors, and account management teams to keep the core return pipeline moving efficiently.

Key Responsibilities

-Track and manage the intake, staging, and outbound shipment of core parts returned from field technicians and service sites
-Maintain accurate core inventory records in the warehouse management system, including serial/part numbers, condition codes, and status
-Coordinate core return shipments with carriers and third-party logistics (3PL) partners, ensuring compliance with vendor and client return windows (e.g., 30/60/90-day cycles)
-Monitor aging core reports and proactively follow up on overdue or missing returns to prevent unbilled core charges or contractual penalties
-Reconcile core credits and charges against purchase orders, invoices, and client billing statements
-Investigate and resolve discrepancies related to missing, damaged, or misidentified cores
-Communicate with field technicians and dispatch teams to confirm proper core packaging, labeling, and documentation prior to shipment
-Generate and distribute regular status reports on core inventory, aging, and return compliance to internal stakeholders and client account managers
-Support audits of core inventory accuracy through cycle counts and physical reconciliation
-Escalate unresolved core disputes or process gaps to the Logistics Supervisor/Manager
-Maintain compliance with client-specific core handling requirements (e.g., OEM warranty programs, RMA procedures)

Required Qualifications

-High school diploma or equivalent required; Associate's degree in logistics, supply chain, or related field preferred
-1–3 years of experience in logistics, warehouse operations, reverse logistics, or returns/RMA management
-Working knowledge of inventory management or ERP/WMS systems (e.g., NetSuite, SAP, or similar)
-Strong attention to detail and organizational skills, with the ability to manage high transaction volumes
-Proficiency in Microsoft Excel (pivot tables, VLOOKUP/XLOOKUP) for tracking and reporting
-Clear written and verbal communication skills for coordinating across internal teams, vendors, and clients
-Ability to work independently, prioritize tasks, and meet strict return deadlines

Preferred Qualifications

-Experience with reverse logistics in field service, telecom, retail technology, or appliance repair industries
-Familiarity with OEM warranty/core return programs and RMA workflows
-Experience supporting multi-site or multi-country logistics operations
