I’m looking for an experienced, highly reliable Personal Assistant to help manage the administrative side of my family, household, and occasionally my business.
’m looking for someone who wants a long-term role and can become the person I hand administrative tasks to and trust that they’ll actually get finished.
This is a great role for someone who is resourceful, organized, persistent, and very comfortable communicating by phone in English.
The work will vary from week to week. Examples include:
Schedule medical, dental and other appointments
Manage school forms, accounts, paperwork and deadlines
Submit claims, receipts and documentation through our insurance portal and follow up until they're resolved
Set up and order our family holiday cards through Minted
Coordinate household services, repairs and appointments
Keep track of administrative tasks that require follow-up
Occasionally order/return supplies for business
Some of this work involves confidential family information. Trustworthiness and discretion are essential.
Who I'm looking for
Excellent spoken English. You will make phone calls to doctors, schools, insurance companies and businesses in the United States. An accent is completely fine. You need to understand conversational English easily and speak clearly and confidently.
Resourceful and independent. If I say, “Our health insurance didn’t reimburse this claim. Can you figure out why?” I want you to investigate, determine what is needed, and move it toward resolution.
Persistent. If someone doesn’t respond, you follow up. If a claim is missing a document, you figure out what document is needed. I shouldn’t need to remember to remind you.
Good judgment. You should be comfortable making routine decisions while recognizing when something needs my approval. If you aren't sure whether you're authorized to spend money, agree to something, or share information, you stop and ask.
Organized. You can manage multiple open tasks, deadlines and follow-ups without losing track of them.
Requirements:
Several years of Personal Assistant, Executive Assistant or high-level VA experience
Experience working with US-based clients
Excellent spoken and written English
Comfortable making phone calls during US Eastern business hours
Strong internet connection and reliable computer
Comfortable learning unfamiliar websites and systems
Two professional references from previous clients or employers
Willing to complete a paid trial
Willing to complete identity/background verification before receiving access to sensitive accounts
AI tools are welcome. I care about the quality and accuracy of your work, your judgment, and your ability to get things done.
Hours & Pay
This will begin as a part-time position, likely around 10 hours per week, with the possibility of growing over time.
Some availability during US Eastern business hours is required for phone calls, but much of the work can be completed on your own schedule.
$8–$12 USD/hour depending on experience.

3. Are you comfortable making phone calls to US doctors, insurance companies, schools and businesses? Tell me about your previous experience doing this.
4. Please also include a 1–2 minute voice recording : imagine you're calling my child's (Sam's) school to let them know that a grandparent (Mary) is picking them up today. Record what you would say.
Final candidates will be asked for two professional references and invited to complete a paid trial.
