What the job is

We run several supplement brands on a subscription model. Our stock sits in three different fulfilment centres, our products are made in China, and our subscribers get charged on a fixed cycle whether or not we have inventory to ship them.

Right now nobody owns that chain. Orders get placed when someone remembers. Stock counts live in different places and do not always agree. We find out we are running low when support starts getting emails.

That is this job. You own inventory from the factory to the customer's door. If we run out of stock, that is on you. If we sit on six months of dead inventory, that is also on you.

Your work

1. Know exactly what we have, everywhere. One stock sheet, updated daily, covering all three fulfilment centres and every SKU. Units on hand, units in transit, units reserved. When the number in the sheet does not match what the warehouse says, you find out why and you fix it.

2. Never let us go out of stock. Work out how fast each SKU sells, how long production and shipping actually take, and set a reorder point for every product. Then place the orders before we hit it. On a subscription business a stockout does not just cost one sale, it cancels a recurring customer.

3. Run the suppliers. Place purchase orders, chase production, confirm quantities and quality before anything ships, track every shipment, and escalate when a date slips. Push on pricing as our volume grows.

4. Run the fulfilment centres. Monitor how fast they ship, catch mis-shipments and damaged deliveries, reconcile their stock reports against ours, and hold them to their numbers.

5. Watch the shipments. Parcels stuck in transit, batches never scanned, customs problems. You spot these before customers complain, and you tell support what to say when they do.

6. Report weekly. Stock position, incoming shipments and dates, cash tied up in inventory, anything at risk in the next 30 days. Short, in numbers.

What we need from you

You have done inventory or supply chain for an e-commerce brand, not just warehouse admin. You have placed real purchase orders with real money behind them.

You are comfortable with numbers. Reorder points, lead times, sell-through rates, units per day. You can build this in a spreadsheet without being walked through it.

You are precise. This job is counting things correctly and noticing when two numbers disagree. There is no room for approximation here.

You chase people. Suppliers go quiet, warehouses do not reply. You follow up until you have an answer, without being asked twice.

Written English good enough to deal with Chinese suppliers and US fulfilment centres by email.

Nice to have

Experience with China sourcing and freight. Supplements, food or anything with expiry dates and batch numbers. Shopify. Experience on a subscription business, where demand is predictable and a stockout is unforgivable.
