We are a growing residential real estate team based in New Brunswick, Canada, looking for an experienced, exceptionally detail-oriented Transaction Coordinator & Client Care Assistant to join our team remotely.
This is a part-time position starting at approximately 5–10 hours per week, with the intention of growing the role for the right long-term person.
What You'll Be Doing
Your primary responsibility will be supporting and coordinating residential real estate transactions from accepted offer through closing and post-closing.
We already have established SOPs, checklists, email templates and systems in place. We're looking for someone who can learn our processes, follow them consistently, and eventually take ownership of much of the administrative transaction workflow.
Responsibilities will include:
* Setting up new transactions and maintaining organized files
* Tracking conditions, deadlines, deposits and important dates
* Reviewing files for missing documents or information
* Following established transaction checklists and SOPs
* Keeping our CRM and transaction records accurate and up to date
* Preparing and organizing documentation
* Following up with Realtors and other parties when information is required
* Sending scheduled client communications using our established email templates
* Personalizing client communications appropriately while maintaining our team's tone and standards
* Keeping clients informed throughout the transaction according to our communication plan
* Proactively identifying missing information, upcoming deadlines or potential problems
* Escalating anything requiring Realtor, legal, compliance or brokerage judgment rather than making assumptions
* Helping ensure nothing falls through the cracks from accepted offer through closing
Communication Is a Major Part of This Role
This is not simply a data-entry position.
You will be communicating with our clients using our established templates and communication processes. As a result, exceptional written and spoken English is required.
We're looking for someone who communicates warmly and professionally and understands that buying or selling a home can be stressful for clients.
You should be able to follow a structured email template while still recognizing when communication needs to be personalized or when something should be brought to a Realtor's attention.

**Strongly preferred:**
* Previous real estate transaction coordination experience
* Experience managing residential transactions from accepted offer through closing
* Experience working with a Canadian real estate team or brokerage, and/or REAL Brokerage
* Familiarity with Canadian real estate terminology and transaction processes
Experience with New Brunswick or Atlantic Canadian real estate would be a significant asset, but is not required for an otherwise exceptional candidate.
Hours & Compensation
* Approximately 5–10 hours per week to start

* We may consider higher compensation for an exceptional candidate with significant Canadian real estate transaction coordination experience
