ABOUT US

One Life Academy is an Australian education and coaching business that teaches everyday Australians how to invest in property using creative deal structures. We run a single flagship program delivered through an online course platform with twice-weekly live mentoring.

We are a small, fast-moving team. Our systems run on GoHighLevel and Circle, and we need someone who can own both.

THE ROLE

You will be the person responsible for our CRM and our course community. This is a hands-on build and maintain role, not a strategy role. We will tell you what we need, and you will build it, test it, and keep it running.

GoHighLevel (roughly 60% of the role)

Build and maintain pipelines, stages, and opportunity tracking
Build automations and workflows: email sequences, SMS sequences, appointment reminders, follow-up campaigns
Build and edit funnels, landing pages, forms, surveys, and calendars
Manage contact tagging, custom fields, and list hygiene
Manage payment integrations (Stripe) and troubleshoot failed or missing transactions
Maintain email and SMS deliverability, domain and sending setup
Build simple dashboards and pull weekly reporting on funnel metrics (cost per lead, booking rate, show rate, conversion rate)
Troubleshoot anything broken, quickly, without needing to be chased

Circle (roughly 25% of the role)

Manage the course community: spaces, member access, permissions, and invitations
Upload and organise course modules and lessons, including video embeds
Onboard new students: create accounts, grant access, send welcome sequences
Remove or restrict access when memberships end
Keep the platform tidy, correctly structured, and easy for students to navigate

Client onboarding and support (roughly 15% of the role)

Run the new client onboarding process end to end once a sale is made
Monitor and respond to the support inbox within agreed response times
Escalate anything you cannot resolve, with a clear summary of what you have already tried

WHAT WE ARE LOOKING FOR

Must have:

Demonstrated hands-on GoHighLevel experience. You must be able to show us accounts or builds you have worked on. This is not negotiable and we will test it.
Experience with a community or course platform. Circle experience preferred, but Kajabi, Skool, or Thinkific is acceptable if you can learn Circle quickly.
Strong written English. You will be writing to clients and to me.
Comfortable with payment platforms (Stripe) and basic troubleshooting
Reliable internet, a working computer, and a quiet place to work
Available for a minimum overlap with Australian business hours
Organised and self-managing. You keep a task list, you update it, and you tell me when something is done or blocked.

Nice to have:

Experience in a coaching, education, or high-ticket sales business
Zapier or Make experience
Basic video handling (Vimeo, uploading, embedding)
ManyChat experience

HOW WE WORK

Direct, plain communication. I will send you clear instructions with specific action items. I expect clean execution and a reply confirming when it is done.
No micromanagement, but full accountability. If something breaks, I need to hear it from you first, not find it myself.
There will be a short paid handover period with the person currently in the role.
