## HubSpot Administrator & RevOps Specialist — Long-Term Part-Time
### About the Role
We are a U.S.-based e-commerce company looking for an experienced HubSpot Administrator / RevOps Specialist to become our long-term go-to person for HubSpot.
This is **not a virtual assistant position** and is not intended for someone whose HubSpot experience is primarily using the CRM as a salesperson or marketer.
We need someone who has real hands-on HubSpot administration experience, ideally including experience **inheriting an existing HubSpot portal that had poor configuration, bad automation, messy data, or processes that needed to be redesigned.**
Our immediate priority is auditing and repairing our existing setup. Long-term, we want this person to own the health and continued improvement of our HubSpot environment.
### Primary Responsibilities
You will be responsible for areas including:
* Audit our existing HubSpot portal and identify configuration, data, automation, and process problems.
* Repair and improve workflows, automation, properties, lists, sequences, associations, and other configuration.
* Own CRM data integrity across contacts, companies, deals, duplicates, associations, imports, and bulk updates.
* Build and maintain sales workflows, sequences, follow-up tasks, cooldown rules, enrollment criteria, and unenrollment logic.
* Maintain pipelines and deal processes for quotes, larger opportunities, long-lead orders, and sales follow-up.
* Make email, call, task, and activity tracking reliable and useful, including Last Activity / Last Touch reporting.
* Build useful reports and dashboards for management, sales, and customer service.
* Build and maintain HubSpot Sales Playbooks.
* Manage forms, lead routing, lifecycle stages, attribution, and related HubSpot configuration.
* Troubleshoot HubSpot problems and integrations.
* Test significant changes before deploying them broadly.
* Document important configurations and processes.
* Recommend simpler, safer, or more maintainable solutions when appropriate rather than blindly implementing requests.
* Help determine whether requested functionality requires changes to our HubSpot subscription or additional HubSpot products.
* Serve as our long-term HubSpot administrator and internal subject-matter expert.
### Initial Projects
Several projects we expect to address include:
**Service Hub / Help Desk**
* Configure HubSpot Service Hub Help Desk so customer support activity can be managed in one workspace.
* Integrate support email and website chat.
* Improve ticket pipelines, routing, ownership, and reporting.
* Evaluate and improve our RingCentral integration so calls and call activity are reliably associated with the correct HubSpot records.
**BigCommerce Integration**
* Audit our existing BigCommerce ↔ HubSpot integration.
* Fix inaccurate, incomplete, duplicated, or improperly mapped customer and order data.
* Improve contact, company, order-history, status, and revenue visibility inside HubSpot.
**Customer Reorder / Reactivation Automation**
* Use HubSpot data, workflows, properties, and BigCommerce order information to identify customers who have passed their normal reorder window.
* Trigger appropriate internal tasks, notifications, and/or customer outreach.
* Design this so our team can adjust business rules without rebuilding complicated workflows.
**Reporting**
Build and improve reporting for areas such as:
* Sales activity / CRM touches
* CRM-sourced revenue
* Customer reactivation
* Calls and call outcomes
* Customer support tickets
* Support response/activity metrics
* Orders generated through phone/email
* Other management KPIs
### What We're Looking For
**Required:**
* Strong hands-on experience administering HubSpot.
* Strong understanding of HubSpot workflows, properties, lists, pipelines, associations, automation, reporting, and data management.
* Experience auditing or inheriting an existing HubSpot portal rather than only building simple setups from scratch.
* Ability to diagnose the cause of a problem before making changes.
* Strong attention to data integrity and downstream effects of automation.
* Ability to work independently with limited supervision.
* Ability to explain technical HubSpot decisions in clear business language.
* Willingness to challenge a requested solution when there is a simpler, safer, or better way to accomplish the underlying goal.
**Strongly Preferred:**
* HubSpot Service Hub / Help Desk experience.
* HubSpot Sales Hub experience.
* E-commerce CRM integration experience.
* Telephony / VoIP integration experience.
* BigCommerce experience.
* RingCentral experience.
* Operations Hub experience.
* Experience with custom objects, programmable automation, APIs, or integration troubleshooting.
We do **not** expect every applicant to have worked specifically with both BigCommerce and RingCentral. Strong HubSpot architecture and integration experience with comparable systems is more important.

* Flexible schedule, although some overlap with U.S. business hours will occasionally be necessary
