JOB OVERVIEW

THIS IS A SENIOR ROLE — DIRECT E-COMMERCE OPERATIONS EXPERIENCE IS REQUIRED

We run an established, fast-growing international business with multiple Shopify stores and approximately 20+ team members.

We are looking for a senior operator who has already held substantial operational responsibility inside a high-revenue e-commerce business selling physical products through its own online stores.

You must demonstrate both:

Experience operating at significant commercial scale.

Personal ownership of complex operational improvements, from investigation through implementation to measurable results.

Working for a successful company is not enough. We need to understand what YOU owned, what YOU d ---------- , and what improved because of your work.

Agency experience, virtual assistance, project coordination, website development, CRM implementation, or paid advertising experience alone does not qualify.

Only applicants who demonstrate relevant experience and provide specific, verifiable evidence will be contacted. Applications without this information will be rejected.

E-Commerce | Founder’s Right Hand | Full-Time Remote
_________________________________________________________________________________________________________
We are a fast-growing international e-commerce company operating multiple Shopify stores across several markets, supported by a remote team of approximately 20 people across customer service, media buying, finance, product listing, operations and other functions.

We are looking for an exceptionally resourceful Business Operations & Special Projects Lead to work closely with the founder.

This is NOT a traditional Operations Manager role where you simply maintain existing processes and manage daily recurring tasks.

We need someone who can take an unclear business problem, opportunity or idea, figure out what needs to happen, coordinate the right people and own execution until there is a measurable result.

What Your Role Looks Like

The founder may come to you with a problem such as:

“Our customer feedback scores aren’t good enough. Find out what’s happening and improve them.”

“We need to improve our finance function. Assess what is missing, find the right expertise and help implement the solution.”

“We want to recruit people currently working at competitors. Build and execute a strategy.”

“This department/process isn’t performing properly. Find out why.”

“We want to implement a new system. Research the options and make it happen.”

You should be comfortable receiving the desired outcome without receiving step-by-step instructions.

Your job is to turn ambiguity into execution.

Responsibilities

* Own cross-functional business improvement projects from problem to result
* Investigate operational problems and identify root causes
* Turn founder ideas into structured projects and action plans
* Coordinate projects across departments
* Research solutions, tools, competitors, agencies, vendors and specialists
* Find and evaluate external experts when specialized knowledge is required
* Support and lead recruitment projects for important roles
* Audit existing workflows, systems and SOPs
* Improve accountability and follow-through across teams
* Build new processes where necessary
* Track deadlines, owners, KPIs and outcomes
* Follow up with managers and employees to ensure agreed actions actually happen
* Identify problems and opportunities proactively rather than waiting for the founder to find them
* Present concise recommendations instead of forwarding problems upward
* Use AI and automation intelligently to improve execution and efficiency

What We Are NOT Looking For

We are not looking for:

* A virtual assistant who waits for instructions
* Someone who needs every project explained step by step
* Someone who only knows how to maintain SOPs
* Someone whose main skill is updating ClickUp
* Someone who forwards problems to management instead of solving them
* Someone who confuses activity with results

Who You Are

You are:

* Extremely resourceful
* Highly organized
* Analytical
* Comfortable with ambiguity
* Fast at learning unfamiliar subjects
* Strong at research
* Able to challenge assumptions
* Comfortable holding people accountable
* Able to communicate clearly with both specialists and managers
* Commercially minded
* Comfortable working directly with a demanding founder
* Focused on measurable outcomes

You do NOT need to personally be an expert in finance, Meta advertising, customer service, recruitment and technology.

You DO need to know how to understand a problem, find the right information or expert, make a recommendation and drive execution.

Experience

Strong candidates may come from backgrounds such as:

* Business Operations
* Strategic Operations
* Special Projects
* Chief of Staff
* Founder’s Associate
* E-Commerce Operations
* Entrepreneurship
* Consulting
* Startup operations

E-commerce experience is strongly preferred.

We care more about evidence of independent problem solving and ownership than impressive job titles.

What Success Looks Like

After several months, the founder should be involved in fewer operational problems and projects because you are independently taking them from idea/problem to outcome.

Instead of asking the founder what to do next, you should increasingly come to the founder saying:

“Here is what I found, here are the options, this is what I recommend, and this is what I need from you.”

Application

Please answer the following questions. Generic or AI-generated answers without specific examples will not be considered.

1. Tell us about the most ambiguous business problem you were personally responsible for solving. What was the problem, what did YOU do and what was the measurable outcome?
2. Tell us about a project where you had to coordinate several people or departments without having all the expertise yourself.
3. Imagine our customer feedback scores have suddenly deteriorated. Several teams could be responsible and nobody knows the exact cause yet. What would you do during your first 7 days?
4. Give an example of something important you discovered and improved at a previous company without your manager asking you to do it.
5. Which AI tools do you currently use professionally and how?
6. What is your current availability and expected monthly compensation for a full-time role?

Please begin your application with the words SPECIAL PROJECTS so we know you carefully read the job description.
