Data Operations Specialist

Job Type: Full-Time
Work Hours: Monday to Friday, 9:00 AM to 6:00 PM Pacific Time, with a 1-hour break
Salary: TBD

Job Overview:
We are seeking a detail-oriented, analytical, and highly organized Data Operations Specialist to support daily data operations, reporting, data quality, and business analysis. This role will be responsible for collecting, consolidating, validating, organizing, and maintaining large datasets from multiple systems while ensuring data is accurate, complete, and readily available for internal reporting and decision-making.

The ideal candidate has strong Excel and data management skills, excellent attention to detail, and the ability to work efficiently with large volumes of data across multiple sources. This position requires someone who can identify discrepancies, maintain consistent data structures, prepare recurring reports, and turn operational data into clear, actionable insights. Experience with e-commerce, Amazon Seller Central, ERP systems, or business reporting is a plus.

Key Responsibilities:

Data Management & Operations
* Collect, consolidate, and maintain data from multiple sources and systems.
* Perform data entry, cleaning, validation, and reconciliation to ensure data accuracy and completeness.
* Identify data discrepancies, missing information, duplicates, and other data quality issues.
* Maintain standardized data structures, SKU/item mappings, and master data.
* Monitor data updates and ensure information remains accurate and up to date.

Reporting & Analysis
* Prepare daily, weekly, and monthly operational and business reports.
* Build and maintain Excel/Google Sheets reports, dashboards, and tracking files.
* Analyze sales, inventory, purchasing, shipment, and other operational data.
* Perform variance analysis and identify trends, exceptions, and potential issues.
* Support ad hoc data analysis and reporting requests from management.
* Identify opportunities to improve reporting efficiency and reduce manual or repetitive processes.
* Maintain clear documentation and standardized processes for recurring data operations.

Required Skills & Qualifications:
* Bachelor’s degree in Business, Data Analytics, Information Systems, Supply Chain, Finance, or a related field.
* 1–3 years of experience in data operations, business analysis, reporting, or a similar role.
* Strong proficiency in Microsoft Excel and/or Google Sheets, including functions such as SUMIFS, COUNTIFS, XLOOKUP/VLOOKUP, INDEX/MATCH, IFERROR, and Pivot Tables.
* Strong attention to detail with the ability to identify and resolve data inconsistencies and discrepancies.
* Ability to work with large datasets and maintain a high level of accuracy and completeness.
* Strong analytical and problem-solving skills, with the ability to identify trends, variances, exceptions, and potential issues.
* Strong organizational and time-management skills, with the ability to manage multiple priorities and meet recurring reporting deadlines.
* Good written and verbal communication skills, with the ability to clearly communicate findings and data-related issues.
* Ability to maintain accurate documentation and follow standardized data processes.
* Experience with Amazon Seller Central or Amazon Marketplace data is preferred.
* Experience with ERP systems such as NetSuite is preferred.
* Experience with e-commerce or retail operations is preferred.
