JOB OVERVIEW

Work Arrangement: Part-Time / Fractional Independent Contractor
Location: Philippines – Metro Manila preferred
Initial Workload: Approximately 8–12 hours per week; up to 45 hours per month included in base engagement
Reporting: Operationally to Executive Assistant & Operations Coordinator; financial reporting and escalation directly to Founder/CEO
Initial Engagement: 90-day evaluation period

Position Overview

We are seeking a highly organized, trustworthy and detail-oriented accountant to support the accounting operations of several U.S.-based businesses, including a growing travel and hospitality business and a professional services firm.

This is not a traditional full-time accounting position and is not intended to be a purely transactional bookkeeping role.

The successful candidate will be responsible for maintaining accurate books and records, performing reconciliations, supporting accounts payable and receivable processes, tracking commissions and business expenses, preparing management reports, and maintaining clear financial records across multiple business entities.

The position requires exceptional discretion and confidentiality because the accountant will have access to sensitive business and financial information.

The role is initially expected to require approximately 8–12 hours per week, with additional hours during month-end, year-end or periods of increased activity.

Primary Responsibilities
Accounting and Reconciliation
Maintain accurate accounting records for multiple business entities.
Reconcile bank, credit card and designated payment-platform accounts.
Review and categorize business expenses.
Identify discrepancies, duplicates, missing transactions and unusual activity.
Maintain supporting documentation for transactions.
Assist with intercompany and related-entity reconciliations when required.
Maintain accurate accounts payable and accounts receivable records.
Prepare recurring journal entries and month-end adjustments as appropriate.
Monthly Close and Management Reporting

Support a disciplined monthly close process and prepare a monthly management package that includes, as applicable:

Profit and loss statement
Balance sheet
Cash position
Accounts receivable
Accounts payable
Budget versus actual results
Major expense variances
Commission receivables
Contractor and payroll expense reconciliation
Business-unit or project profitability
Outstanding accounting issues
90-day cash-flow outlook

The accountant should be capable of identifying and explaining significant discrepancies rather than simply producing reports.

Travel Business Accounting

For Travel Hike & Eat and related travel operations:

Track travel supplier and agency commissions.
Reconcile Fora and other supplier commission statements.
Track commission receivables.
Assist with traveler and trip payment reconciliation when required.
Maintain trip-level revenue and expense accounting.
Prepare trip-level profitability reports.
Track deposits, refunds and vendor payments.
Assist with financial reconciliation of group trips and optional excursions.
Support calculation of gross profit and employee incentive pools when applicable.
Payroll, Contractor and Vendor Support
Reconcile EOR and contractor invoices.
Track recurring vendors and business expenses.
Review supporting documentation for reimbursements.
Assist with contractor payment records.
Maintain accounting records supporting payroll and outside service providers.
Prepare records required by external tax professionals and CPAs.
Multi-Entity Responsibilities

The accountant may support multiple businesses under common ownership.

Each entity must be maintained independently with clear separation of:

Bank accounts
Expenses
Revenue
Contracts
Vendor payments
Accounting records
Financial reporting

The accountant must demonstrate an understanding of maintaining proper entity separation and avoiding inappropriate commingling of business transactions.

Financial Controls

This position is an accounting and reporting role and does not carry independent authority to move company funds.

Unless expressly authorized by the Founder/CEO, the accountant will not:

Approve payments
Execute wires or transfers
Add or modify banking beneficiaries
Change banking instructions
Sign checks
Open or close financial accounts
Obtain credit
Commit a company to financial obligations
Make investments
Transfer funds between entities

The accountant may prepare payments or supporting documentation for review when specifically authorized, but final financial authorization remains with the Founder/CEO.

Confidentiality and Information Security

This position requires a high degree of trust.

The successful candidate must agree to strict confidentiality and data-security requirements, including:

Use of company-approved systems and accounts.
Multi-factor authentication on required systems.
No sharing of usernames, passwords or credentials.
No subcontracting of assigned work.
No unauthorized copying or downloading of company financial information.
No storage of sensitive company data on personal devices or personal cloud-storage accounts.
Use of company-provided or company-approved equipment for sensitive financial work.
Immediate reporting of suspected security i ---------- .
Return or deletion of company information upon termination as directed.
Continued confidentiality obligations after the engagement ends.

Access to financial systems will be provided according to the principle of least privilege and may be expanded as responsibilities develop.

Qualifications

Preferred candidates should have:

Bachelor's degree in Accounting, Finance or a closely related field.
Approximately 3–5 years of relevant accounting experience.
Strong practical bookkeeping and reconciliation experience.
Experience supporting multiple entities, business units or clients.
Strong knowledge of general ledger accounting.
Experience preparing monthly financial statements.
Strong Excel and/or Google Sheets skills.
Experience with QuickBooks Online or similar accounting platforms.
Strong written and spoken English.
Exceptional attention to detail.
Ability to work independently and meet recurring deadlines.
Strong analytical and problem-solving abilities.
Demonstrated discretion handling confidential financial information.
Preferred Experience

Additional consideration will be given to candidates with experience in one or more of the following:

U.S.-based businesses
U.S. GAAP accounting environments
Professional services firms
Travel agencies, hospitality or tourism businesses
Commission accounting
Multi-entity accounting
Project or job-cost accounting
International contractors or EOR providers
Wise or other international payment platforms
QuickBooks Online
Management reporting
Cash-flow forecasting

CPA licensure is welcome but is not required.

We place greater value on strong operational accounting ability, accuracy, judgment and reliability than on credentials alone.

Working Relationship

The accountant will work closely with the Executive Assistant & Operations Coordinator for documentation, scheduling and workflow coordination.

The accountant will have direct access to the Founder/CEO for financial reporting and must independently escalate:

Material discrepancies
Unusual transactions
Suspected fraud
Internal-control weaknesses
Repeated missing documentation
Significant accounting errors
Potential conflicts of interest
Security concerns
Compensation

Initial compensation is structured as a monthly fractional retainer.

Base Retainer: ₱22,000 per month

The retainer includes up to 45 hours of accounting services per month.

Pre-approved work beyond 45 hours will be compensated at ₱500 per hour.

Additional work beyond 65 total hours in a month requires specific approval from the Founder/CEO.

The engagement will initially operate under a 90-day evaluation period.

A discretionary performance bonus may be considered based upon accuracy, timeliness, reporting quality, reliability and overall contribution.

Identification and resolution of discrepancies
Maintenance of proper entity separation

Reduction in the accounting administrative burden placed on management

The objective of this role is not simply to record transactions. The accountant should help management maintain reliable financial information from which sound business decisions can be made.
