JOB OVERVIEW

Project-based, 30 to 45 days, then no ongoing part-time or full-time for the right person. Flexible hours, with a minimum 4 hour overlap with my working day. I will confirm my timezone before we start. Rate: $7-$10/hr, paid weekly / on milestones. I pay for all tools, including your Claude seat.

ABOUT US

We sell high-end recovery and wellness equipment: hyperbaric chambers, saunas, cold plunges, red light therapy and Pilates machines. We are an authorised dealer for more than twenty manufacturer brands and we sell across the United States and Canada.

Our average order is around $9,000. Buyers research for weeks before they ever contact us, so the website has to do most of the selling. That is why this role exists.

The team is small and you would work directly with me, the owner. No layers, no committee, no waiting a week for an answer.

THE ROLE IN ONE LINE

You will use AI workflows I have already built to publish accurate, high-converting content, and keep the product catalogue behind it clean.

PLEASE READ THIS PART CAREFULLY

This is not a blank-page writing job, and it is not data entry. I have built custom AI workflows for our exact tasks: one for product pages, one for category pages, one for buying guides, one for SEO. They produce the first draft.

Your job is the judgement between the AI and the live website. You brief the workflow properly, read what comes back, check every fact against the manufacturer manual, fix what is weak, and publish it correctly. Some days that means rewriting half of what the AI produced. Some days it means catching one wrong number that would have cost us a sale.

If you are a strong writer who wants to create everything from a blank page, you will find this constraining. If you are a careful person who enjoys taking a rough draft and making it correct, clear and genuinely useful to a buyer, this is a good fit.

WHAT YOU GET, WHICH IS UNUSUAL FOR A VA ROLE

A seat on my Claude team plan, paid by me. My custom AI workflows for every recurring task, so you are never writing prompts from scratch. Every project file we have: a full site audit, a six-month growth plan, a 118-keyword research map, and written content briefs. The manufacturer manuals, which are your source of truth. Written SOPs and checklists for every recurring task. And clear briefs, in which I name the target keyword, the page it belongs to, the internal links and the call to action.

Most VA jobs hand you a vague goal and hope. This one hands you a system. Follow it precisely, and tell me where it is wrong.

WHAT YOU WILL DO

CONTENT AND SEO, 40% of your time. Produce category pages, product content blocks and buying guides using my workflows, then verify, edit and publish them. Write SEO titles under 60 characters and meta descriptions under 155 that actually earn a click. We currently have page-one rankings sitting at a 0.04% click rate, so fixing that is one of the highest-value things you will do. Build what a $9,000 buyer needs in order to d ---------- : specification tables, model comparisons, who this is for and who it is not for, room and doorway requirements, and honest FAQs. Add internal links from the map I give you. Track keyword positions in Google Search Console and tell me what moved. Our buyers research for weeks, so your writing has to answer real questions. Will this fit through my door. What is the difference between these two models. Why is one $8,999 and the other $26,999. Not brand storytelling.
PRODUCT AND BRAND ONBOARDING, 15% of your time, starting month 2. When a supplier sends a price list and portal access, you take it from spreadsheet to live product pages. Work out what we are actually listing: models, variants, options, warranty terms and lead times. Pull the manufacturer manual and use it as the source of truth for every specification. Download the images and PDFs, rename them to our convention and compress them to WebP. Run my onboarding workflow to produce the pages and a Matrixify import CSV, then check every row before it goes near the store. Build the SKU structure correctly the first time, with unique codes, correct model prefixes and no duplicate variant sets. Flag every question the supplier still needs to answer. A brand onboarded properly takes a day. Onboarded carelessly it takes a week to fix six months later, and I know that because I am paying to fix it right now. This is also where our compliance risk is highest, because supplier marketing copy is full of health claims we cannot repeat. You are the filter.
SHOPIFY CATALOGUE, 25% of your time. Fix SKUs and variants: some products have blank SKUs, some share one SKU across four variants, and some carry the wrong model code. Enforce one price per product everywhere it appears, on the product page, the collection cards, the comparison tables and the financing page. Fix product tags so items show up in the right collections and disappear from the wrong ones. Set up URL redirects and update the internal links that pointed at the old address. Run bulk edits with Matrixify or Shopify CSV. Paste HTML blocks into Shopify and test them at 375px width on a phone before you call them done. You do not need to be a developer. You need to read HTML, edit it without breaking it, and know why a wide table breaks on mobile. Claude will help you write it. Checking it is on you.
KLAVIYO EMAIL MARKETING, 20% of your time. Build and edit flows: abandoned cart, browse abandonment, quote follow-up, post-purchase and review requests. Write, build and schedule campaign emails. Create and maintain segments. Edit templates, including light HTML. Report on opens, clicks and revenue after each send, in plain language.
QUALITY CONTROL, 5% of your time, but it protects everything else. Every week, check that no price contradicts another anywhere on the site, and check for broken links and images. Every month, run a full price parity audit across every surface.

HARD RULES, NOT NEGOTIABLE

We sell wellness equipment, not medical treatment. Breaking these rules can get our ad accounts banned and create legal problems. This is the most important section in this post.

RULE 1. Never publish a medical claim. Nothing that says a product treats, cures, heals or improves any condition. Never name a condition such as stroke, brain injury, PTSD, cancer, Lyme, autism, arthritis, long COVID, wound healing or inflammation. Not even if the manufacturer said it first.

RULE 2. Never invent a fact. If a dimension, weight, pressure rating, certification or price is not in the manual or on the manufacturer website, write "needs verification" and flag it to me. Do not guess and do not let the AI guess.

RULE 3. AI drafts, you verify. Claude will confidently produce specifications and prices that do not exist. Assume every number is wrong until you have seen it in a manual.

RULE 4. Nothing publishes without the checklist. Every time, including when you are busy.

The most common way people fail this role is not laziness. It is being helpful: adding a benefit the AI suggested because it makes the copy stronger. On our products that is the expensive mistake.

WHAT YOU MUST ALREADY HAVE

Hands-on Shopify admin experience, covering products, variants, tags, collections, metafields, redirects and SEO fields. Bulk editing with CSV or Matrixify, and the sense to spot a broken row before you import it into a live store. HTML and basic CSS, enough to read a block, change it safely and understand mobile behaviour. Klaviyo, building flows and segments from scratch rather than just pressing send. Daily use of Claude or ChatGPT, with a clear answer for how you check their output. Tidy file handling: renaming to a convention, WebP compression, folders someone else could navigate. And plain written English at a grade 7 to 9 reading level, short sentences and no filler. I will judge that last one from your application, so please write it yourself.

Nice to have but not required: Google Search Console, Semrush, Merchant Center, ---------- , previous supplier catalogue onboarding from a price list rather than finished copy, or any exposure to outreach, link building and short-form video.

WHY THIS ROLE COVERS SO MUCH GROUND

A lot of operational marketing work is being commoditised by AI. Building a product page, drafting a campaign, cutting a short video, writing outreach: the mechanics are no longer the hard part, because good systems and good tools now do the first 80% of each one.

What has not been commoditised is judgement. Knowing what is worth doing, noticing when the output is wrong, and caring whether it is accurate. That is what I am hiring for, and it is the part that transfers between channels.

Five years ago this would have been four separate jobs. Today one capable person with the right systems can run all of it, and be paid better than any one of those four jobs paid on its own. That is the bet I am making, and it is why this role is built to expand rather than to specialise.

WHERE THIS ROLE GOES

MONTHS 1 TO 3, EXECUTION. The work described above. You learn our products, our rules and our systems.

MONTHS 3 TO 9, CHANNEL SPECIALISMS. Added one at a time, never all at once, and only once the previous one runs without me. Content marketing, meaning you own the editorial calendar and produce and publish against it. Email marketing, meaning you own Klaviyo outright, including campaigns, segmentation and revenue reporting. Social media and video, meaning short-form cut from manufacturer footage, YouTube uploads and light community management. Then link building and digital PR, meaning prospecting, outreach, follow-up and tracking placements.

MONTHS 9 AND BEYOND, MANAGEMENT, IF THE BUSINESS GROWS INTO IT. I will be straight with you. This depends on revenue, not on goodwill. If the plan works, the next hires are a second VA and a freelance video editor, and you would brief and review their work instead of doing all of it yourself. Marketing manager in function, whatever we end up calling it. If growth is slower than planned, this stays a strong specialist role and your pay still rises with your skill. I would rather tell you that now than imply a promotion I cannot guarantee.

HOW YOU ACTUALLY PICK UP THE SKILLS

Most job posts leave this vague, so here is the exact method. First, I write the guideline or SOP before you are asked to do the task. Second, we do the first one together on a call with my screen shared, so you see the reasoning and not just the steps. Third, you do the next two with me reviewing before anything publishes. Fourth, it is yours, and your job becomes telling me where the system is clumsy so we can fix it together.

You get a Claude seat and I pay for any course or tool that makes you better at this. Time spent learning is part of your paid hours. It is not something you do in your own evenings. I would rather pay for a week of you getting properly good at something than have you fake it for six months.

Willingness to learn a new tool every few months matters more to me than knowing everything today. I am looking for someone to stay for years.

PAY AND GROWTH

This starts as a paid project with a defined scope, so we both find out quickly whether it fits. If it goes well it becomes ongoing part-time, then full-time, with a review at 90 days. Pay rises as the scope grows: link building, then social and video, then channel ownership each move the rate, and I will tell you in advance what has to be true for that to happen. I pay for the tools and the training.

HOW WE WORK

I give you written briefs, so ask your questions before you start rather than after you finish. Send me a short end-of-day update covering what you finished, what is blocked and what is next. Three lines is enough. All work is tracked in a shared spreadsheet I provide. If my brief looks wrong, stop and tell me, because catching my mistakes is part of the job and I will say thank you. We talk on [SLACK / WHATSAPP / SKYPE] and use Loom for anything complicated.
