Remote Receptionist & Intake Coordinator
U.S. Immigration Law Firm | Full-Time Remote Position | Philippines
The Law Offices of Fogam & Associates, LLC, a U.S.-based immigration law firm, is seeking an exceptional Remote Receptionist & Intake Coordinator based in the Philippines.
This is a front-line client-service position. You will often be the first person prospective and existing clients speak with. We therefore require excellent spoken and written English, strong listening skills, sound judgment, professionalism, warmth, accuracy, and exceptional reliability.
This is not simply a call-answering position. The successful candidate must follow detailed scripts and procedures, listen carefully, obtain and record important information, distinguish between types of calls, identify potentially urgent matters, assist with preliminary intake and qualification, and communicate information promptly and accurately to our U.S. office.
Primary Responsibilities
• Answer incoming calls promptly, warmly, and professionally.
• Follow firm-approved telephone, intake, client-service, qualification, and follow-up scripts.
• Listen carefully and ask appropriate scripted follow-up questions.
• Accurately document the caller's identity, contact information, reason for calling, important dates/deadlines, requested action, and appropriate next step.
• Conduct preliminary intake and qualification of prospective clients using firm procedures. Do not provide legal advice.
• Identify promising or time-sensitive prospective-client inquiries and promptly transmit them to the Office Administrator or Operations Manager.
• Coordinate or schedule appointments with the Office Administrator or Operations Manager when authorized by firm procedures.
• Do not schedule appointments directly with Attorney Fogam and do not represent that you have access to his calendar.
• Follow up with prospective clients according to established procedures and scripts.
• Route existing-client calls and messages to the appropriate team member.
• Recognize potentially urgent situations and immediately escalate them according to the firm's escalation protocol.
• Prepare clear, concise written summaries of calls and communications.
• Send routine call/activity digests approximately every two hours to the Office Administrator.
• Send urgent matters immediately; do not wait for the next two-hour report.
• Send qualified or high-priority prospective-client opportunities promptly after the call.
• Prepare a detailed end-of-day report accounting for calls, inquiries, follow-ups, unresolved matters, and required next actions.
• Maintain strict confidentiality concerning all client and firm information.
Communication & Escalation
Receptionist → Office Administrator → Operations Manager → Attorney
Routine matters should be handled or routed without unnecessarily involving the attorney. Potential emergencies must be escalated immediately. The receptionist should not bypass the chain of responsibility except where a firm procedure specifically requires it.
Required Qualifications
• Excellent spoken English with clear pronunciation and strong listening comprehension.
• Excellent written English.
• Ability to understand different accents and callers who may speak imperfect English.
• Strong telephone presence and professional demeanor.
• Excellent attention to detail and ability to summarize conversations accurately.
• Ability to follow scripts without sounding robotic.
• Good judgment concerning urgency, priority, and escalation.
• Strong computer skills and ability to learn new software.
• Reliable high-speed internet, computer, professional headset, and quiet workspace.
• Ability to work the required U.S. Eastern Time schedule.
• Strong attendance, punctuality, coachability, and confidentiality.
Experience as a legal receptionist, intake specialist, virtual assistant, customer-service representative, call-center representative, or with a U.S.-based professional-services organization is preferred but not required. Immigration law experience is helpful but not required.
