US personal injury law firm hiring ONE full-time Client Intake Specialist & Case Manager. This is a long-term, career position - not a short project.
WHO WE ARE
Big Bubba Injury Law is a personal injury law firm in West Virginia, USA. We represent people who were hurt in car crashes. We do not charge our clients anything up front - we only get paid when we win. Our clients are ordinary working people, and many of them are scared, in pain, and have never spoken to a lawyer before.

REQUIRED BACKGROUND - READ THIS FIRST

You must have real, verifiable experience in ONE of the following. This is not negotiable and it is not a "nice to have."
MEDICAL:
- Nurse, nursing graduate, or medical assistant
- Medical records, medical billing, or medical coding
- Health insurance claims processing or utilization review
- Medical transcription or medical scribe work
- Medical VA work for a US clinic, hospital, or provider
OR PERSONAL INJURY / LEGAL:
- Intake, case management, or paralegal work for a US personal injury law firm
- Demand package preparation, medical records summarization, or lien resolution
- Auto insurance claims handling or bodily injury adjusting
- Legal VA work for a US plaintiff-side firm
You will be reading medical records every single day. You need to already know what an MRI report says, what a chiropractor's SOAP note looks like, what "MMI" means, and why a 30-day gap in treatment matters. We will train you on our systems and our law. We will not train you on medicine.
In your application, state exactly where you got this experience, how long, and what you handled. Vague claims will be rejected.

THE ROLE
You are the voice of this firm. An AI answering service takes the first call and passes qualified callers to you. From that moment, you own the client.
Two jobs in one:
1. INTAKE AND CLOSING (the first hour of the case)
- Take the handoff from our answering service and call the injured person immediately
- Build trust fast, get the facts of the crash and their injuries, and confirm we can help
- CLOSE. Persuade them to hire us, send the e-signature link, and stay on them until it is signed. Most people call more than one law firm. The firm that answers with a real human who cares is the firm that gets hired. That is you.
- Follow up relentlessly on unsigned links - same day, next day, day three
2. CASE MANAGEMENT (the next 6-12 months)
- Be the client's single point of contact for the life of their case
- Weekly calls while they are actively treating; biweekly at every other stage. We do not let clients wonder what is happening.
- Collect, review, and organize medical records and bills as treatment progresses
- Track the client's treatment trajectory and flag gaps, pre-existing conditions, and missing providers
- Chase down records from doctors' offices, hospitals, and imaging centers
- Coordinate with insurance adjusters within the scope the attorney sets
- Keep every case file complete and current in our case management software
- Prepare the file for the attorney at each stage
You are not giving legal advice. The attorney makes every legal decision. You run the relationship and the file.
ALSO REQUIRED
- NEUTRAL, EASILY UNDERSTOOD AMERICAN ENGLISH ON THE PHONE. This is a hard requirement. Our clients are in rural West Virginia. Many are elderly, many are in pain, and many will hang up if they have to ask you to repeat yourself. You must be understood effortlessly on the first call. Excellent written English as well - you will be sending client emails and texts under our firm's name.
- Real experience persuading people on the phone. Sales, appointment setting, closing, retention, collections, or high-end customer service. Tell us specifically what you sold or closed and what your numbers were.
- Full-time availability on US Eastern Time, 9:00 AM - 6:00 PM ET (9:00 PM - 6:00 AM Philippine Time). This is a night shift in the Philippines. Do not apply if you cannot commit to it long term.
- Reliable computer, noise-free work environment, headset, and backup internet AND backup power. Our clients cannot hear roosters, tricycles, or family in the background.
- Empathy that is real. You will talk to people on the worst week of their life. If you cannot sit with someone who is crying and still get the information we need, this is not your job.
- Organized to the point of being obsessive. You will be managing 30-60 open cases at once.
BONUS
- Both medical AND personal injury experience
- Experience with case management software (Filevine, Litify, Smart Advocate, Clio, CasePeer, or similar)
- Experience with US health insurance, Medicare, Medicaid, or ERISA subrogation

- Confirm in one sentence that you can work 9:00 PM - 6:00 AM Philippine Time long term
- Your expected monthly salary in USD
