JOB OVERVIEW

We are an Australian youth-sports coaching business looking for a reliable, detail-focused Virtual Assistant to keep parent enquiries, booking administration and daily operational follow-up moving.

This role suits someone who communicates calmly, checks facts carefully and flags uncertainty instead of guessing.

WHAT YOU WILL DO
• Triage routine Facebook and Instagram ---------- .
• Reply using approved information, scripts and programme links.
• Record leads, follow-ups and unresolved questions.
• Help reconcile bookings with registration information after training and access approval.
• Maintain calendars, trackers, task lists and organised files.
• Prepare a short daily summary of completed work, waiting items and exceptions.
• Document repeatable tasks as clear checklists.

WHAT SUCCESS LOOKS LIKE
• Parents receive clear and accurate information quickly.
• No enquiry or exception silently disappears.
• Dates, prices, locations and booking links match the approved source.
• Sensitive, medical, refund and child-safety matters are escalated to the business owner.
• The owner can see what is complete, waiting or blocked without searching through messages.

YOU MUST HAVE
• Strong written English and customer-service judgement.
• Excellent attention to detail.
• Experience with Google Workspace and Meta Business Suite.
• A reliable computer, internet connection and work routine.
• Meaningful overlap with Australia/Sydney time.
• Confidence saying “I need to confirm that” when a source is unclear.

Squarespace, CRM, Canva, sports, education or youth-programme experience is helpful but not required.

ROLE SETUP
• Remote and part-time, initially 10–15 hours per week.
• USD $8–$15 per hour, based on demonstrated experience.
• Long-term potential for the right person.
• A short paid work sample using fictional data will be used before an ongoing offer.
