What we do
We build AI phone agents and follow up systems for small service businesses in the US. Personal injury law firms, med spas, dental offices, HVAC and roofing companies, real estate teams. The client pays us, we build the whole back end in GoHighLevel, and their phone gets answered and their leads get followed up around the clock.
The systems work. The bottleneck is me. Every sub account build is currently sitting on my plate, and it is slowing down how many clients we can take on.
That is the job. You own the build.
What you will actually do
You take a new client from signed to live in about two weeks, following our internal setup checklist. Every step of that checklist is a thing you should already know how to do:
Provision the LC Phone number and submit A2P 10DLC registration under the client's legal name and EIN, then push it through to approval
Set up
Build calendars with the right duration, buffers, availability and timezone, and test the booking widget end to end
Build the pipeline and stages to match how the client actually sells
Create custom fields and custom values before you build anything that references them
Build the automations: missed call text back, instant response inside 60 seconds, and a Day 1, Day 2, Day 4, Day 7 follow up mixing SMS and
Build and configure the AI agents, conversational and voice, including the knowledge base and the handoff trigger to a human
Test every entry point with a real contact before anything is called live
Set up the client user, the dashboard widgets, and the support ticket form
When you message me about this role, use the subject line First Ring Ops followed by the one automation you would turn on before any other for a brand new client. Two words for the subject, then your answer.
Over time this role grows into owning our internal systems too. Onboarding automations, invoicing workflows, and the templates we reuse across every new client.
Who I am looking for
Real GoHighLevel experience. Not "I watched tutorials." You have built sub accounts for actual paying clients.
HighLevel certified is a strong plus. If you are not certified, show me the work instead and you are still in the running.
Two or more years in marketing automation, CRM builds, or agency operations. If you have less time but your GHL and AI skills are sharp, apply anyway and let the work speak.
You have built or configured an AI agent before. Conversational AI, Voice AI, a chatbot, an n8n or Make workflow, something. This is the highest priority skill on this list next to GHL itself.
You know what a silent fail looks like. Workflows that reference a field that does not exist, overlapping enrollments, two campaigns firing on the same contact.
Written English good enough to write client facing SMS and
You test your own work before you tell me it is done.
Nice to have: DNS and domain experience, Twilio, funnel and website builds, Zapier or Make, basic Canva.
The sample task
Do not send me a resume with nothing attached. I want to see how you think.
The scenario: A roofing company in Marietta, Georgia. Two crews, one owner, one office manager. They spend about $3,
Send me these four things:
A screen recording, six minutes or less, walking me through a missed call text back workflow inside a GHL account you have access to. Show me the trigger, the actions, and the stop condition. Talk out loud about why you built it that way. Loom or Google Drive link is fine.
A list of the custom fields you would create for this client before you build a single workflow, and one line on why each one matters.
The first SMS that goes out when a new lead comes in from the ad. Write it the way you would actually send it, including opt out language.
One short paragraph: the client's A2P campaign gets rejected. What are the first three things you check?
If you already have a portfolio of client sub accounts you have built, send that too. Screenshots of the workflow builder, calendars, pipelines, and any AI agent configuration. Real work beats a practice task every time.
This should take you under an hour. If it takes longer than that, this role probably is not the right fit, and that is fine.
How you will be judged
Not on how pretty it looks. On whether the workflow has a stop condition, whether the fields exist before the automations that use them, whether the SMS sounds like a human, and whether you followed the instructions in this post exactly as written.
