About the Role
Manage day-to-day operations and a small support team for a U.S. tax law firm. You'll be the person who tracks every task, knows who owns it, and makes sure nothing slips through the cracks.
What You'll Do
• Team management: Assign work, set priorities, monitor performance, train staff, keep a remote team accountable.
• Follow-up & deadlines: Track all open tasks with clear owners and due dates. Catch delays early, escalate when needed.
• Excel & reporting: Build and maintain trackers and weekly/monthly reports using formulas, pivot tables, filters, and conditional formatting. Analyze operational data to spot trends and workload issues. Keep spreadsheets clean, accurate, and easy for leadership to read at a glance.
• Process improvement: Create SOPs, checklists, and workflows; fix inefficiencies.
• Leadership updates: Give the Founder clear, concise status reports; flag problems early.
• Admin support: Manage calendars, records, vendor/billing coordination, onboarding.
• HR support: Assist with hiring coordination, onboarding new hires, and basic HR administrative tasks.
Requirements
• Bachelor's degree from a reputable college
• 5+ years in operations, admin, or project coordination
• 2+ years managing/supervising a team
• Strong Excel skills - formulas, pivot tables, data validation, filters, formatting
• Excellent written/spoken English
• Comfortable working independently in a remote, deadline-driven environment

• Prior experience with a U.S.-based company or remote team
• QuickBooks/bookkeeping exposure
