JOB OVERVIEW

Small consumer-protection law firm in Washington, DC. I'm a solo attorney and I need one person to own our court deadlines, filings, client follow-up, and calendar. You'd work directly with me every day.

This is detail work with real consequences. If you like a clean board and nothing slipping through the cracks, you'll do well here.

Schedule
The 9:00 AM – 12:00 PM US Eastern block is required every weekday and is not negotiable — that's our daily overlap. Your remaining hours are earlier in the US morning, which is your afternoon and evening.

Docket and filings
Monitor our email for court notices, e-filing confirmations, and correspondence from opposing counsel
Calculate deadlines using a reference table I'll give you — response times, service add-ons, weekend and holiday rollover — and enter them in our Notion Deadlines database
Keep our Notion Cases and Triage databases current. Every deadline entered before your shift ends.
E-file documents in US state and federal court systems under my credentials, after I approve each filing
Send courtesy copies of filings to opposing counsel from our templates, immediately after filing
Prepare draft filings from templates: notices of appearance, certificates of service, cover sheets

Client and counsel follow-up
Maintain a follow-up log for everything we're waiting on — from opposing counsel, from clients, from courts — and send the reminders on schedule without being asked
Chase clients for signatures, mailing addresses, and documents until we actually have them
Prepare draft correspondence from templates: intake replies, declination letters, client status updates
Assist with client intake and inquiries during the overlap window
Send review requests at case closing per our checklist

Calendar and files
Own my calendar and consultation bookings. Block unavailable time, confirm consultations, prevent double-bookings.
Create and maintain recurring meeting invites
Organize case files in SharePoint to our naming conventions
Pull records from online county land records and court dockets as directed
Maintain our email and document templates
Send an end-of-shift summary: what you entered, what you filed, what you're waiting on, what you flagged


Requirements
Driven and focused
Excellent written and spoken English. You'll read court notices, write summaries I rely on, and speak with clients.
Strong with dates and arithmetic
Notion experience, or another database tool plus the ability to learn Notion in a week
Available the required 9:00 AM – 12:00 PM Eastern block every weekday
Reliable internet and a backup, plus backup power. The overlap window can't be missed for an outage.
Comfortable using a password manager and two-factor authentication — you'll hold court filing credentials
Willing to sign a confidentiality and data-security agreement. You'll see privileged client information.
You will not work for any other law firm while working with us. This is a conflict-of-interest requirement, not a preference.

Nice to have
Prior US law firm experience
US court e-filing systems (MDEC, CM/ECF, Tyler, CaseFileXpress)
Paralegal training or a law degree

Terms
Long-term role. Performance evaluations at 90 and 120 days with a raise on the table for strong work. I'll train you on all our systems — I don't expect you to know US litigation on day one. I expect you to be careful, ask questions, and get better every week.
