About the Role
We are looking for a highly organized, dependable, and personable Virtual Assistant to support our Vice President directly, while also stepping into a Social Media Coordinator role covering a maternity leave. This is a dual-function position combining executive/administrative support with hands-on social media management, so we need someone who is equally comfortable juggling a busy inbox and calendar as they are engaging with followers and writing content.
This is a long-term position. The role will start at 20-30 hours per week and grow into a full-time 40-hour per week role over time, with the personal VA responsibilities expected to expand and evolve as well. The Social Media Coordinator portion of the role covers a maternity leave beginning in November, expected to last one year. Once that leave concludes, the position will transition and evolve to focus on the ongoing needs of the VP and the business. We are looking for someone with a growth mindset who is eager to take on more responsibility as the role develops.
This role is ideal for someone who is proactive, detail-oriented, strong with numbers and spreadsheets, and confident communicating in both written and verbal English.
Responsibilities
Personal/Executive Assistant Duties
Keep the VP's inbox organized: prioritizing, flagging, and responding to routine
Book, reschedule, and manage meetings and calendar appointments
Update and maintain spreadsheets accurately
Support weekly reporting and scorecard/measurables tracking
Help keep the VP on track and accountable for completing tasks and deadlines
Various ad hoc administrative tasks as needed
Social Media Coordinator Duties (Maternity Leave Coverage, Beginning October/November, Approximately One Year)
Schedule and publish posts across social media channels using Loomly
Engage with followers: respond to comments, messages, and questions
Identify and forward sales leads generated through social channels to the sales team
Respond to Google reviews in a professional, on-brand tone
Write and send a monthly newsletter using Mailchimp
Other ad hoc social media and marketing tasks as needed
Equipment & Work Setup Requirements
Strong, fast, and stable WiFi/internet connection (please run a speed test at speedtest.net and include the results with your application)
Backup power supply (UPS or generator) to handle power outages without interrupting work
Newer, reliable computer in good working condition
Second monitor preferred
Quiet, dedicated workspace free from background noise
Headset with noise-cancelling microphone and working webcam for video calls
Portfolio & Additional Requirements
Must provide a portfolio or examples of previous social media posts or accounts managed
Basic graphic design skills (e.g., Canva or similar)
Must have (or be willing to set up) a Wise (
Requirements
Strong administrative and organizational skills with proven experience supporting an executive or business owner
Strong mathematical skills and confidence working with spreadsheets (Excel/Google Sheets)
Prior experience with social media marketing/community management (Loomly experience is a plus)
Experience with Mailchimp or similar
Comfortable working in Google Suite (Gmail, Google Calendar, Google Sheets, Google Docs)
Excellent written and verbal English communication skills
Comfortable using Claude (Anthropic AI) as part of daily workflow
Highly organized, intuitive, and able to anticipate needs without being asked
Growth mindset, with a genuine interest in taking on new responsibilities as the role evolves
Dependable, personable, and professional in tone across all customer and follower interactions
Able to work full-time hours with reliable internet connection
Nice to Have
Prior experience in a dual EA + marketing support role
Experience responding to Google reviews or managing online reputation
Familiarity with CRM tools and lead handoff processes
What We Offer
A long-term, stable position with a growing Canadian company
$12 CAD per hour, paid biweekly
Starting at 20-30 hours per week, growing into a full-time 40 hour per week role
Work hours: 8:00 AM to 4:30 PM Mountain Standard Time (Edmonton, Alberta), with a 30-minute unpaid lunch and two 15-minute paid breaks
Room to grow: personal VA responsibilities are expected to expand over time for the right person
