We’re Hiring a Service Coordinator
We’re looking for a *Service Coordinator* to own the end-to-end coordination of all service requests — including installations, preventative maintenance (PM), and technical support.
You’ll be the operational link between customers, technicians, and internal teams, ensuring every request is properly understood, quoted, scheduled, and completed without delays or confusion.
This is a fast-paced role that requires strong organization, technical curiosity, and the ability to accurately triage service requests — including diagnosing the issue, coordinating the right technician, and ensuring the correct parts are identified before the visit.
What You’ll Do
* Manage incoming service requests (Front → Jobber flow)
* Coordinate service communication in Front and Quo
* Schedule installs, PMs, and service visits using Google Calendar
* Create and manage service jobs in Jobber
* Ensure all service work is paid before execution
* Identify service type: install, PM, or troubleshooting
* Conduct pre-installation checks with customers
* Work with technicians to define required parts kits
* Prepare and send service quotes
* Collect payment or card-on-file after approval
* Coordinate scheduling between customers and warehouse techs
* Triage basic troubleshooting requests
* Support parts listing creation with the listings team
* Build strong knowledge of Pro Coffee Gear equipment
What We’re Looking For
* Customer service / support experience *required*
* Experience working in fast-paced, high-volume environments
* Strong English communication and organizational skills
* Experience with Front, Jobber, and Google Calendar is preferred, but we strongly value fast learners who can quickly adapt to new systems and tools
* Calm, structured, and empathetic under pressure
* Basic technical troubleshooting ability or a strong willingness to learn
* Proactive about improving and automating processes — someone who naturally thinks, “There has to be a better way to do this,” will be a great fit
* Experience coordinating across multiple teams
* Remote work experience preferred
**Parts-oriented and interested in developing deeper parts knowledge**
We’d especially value someone who wants to become an expert in coffee equipment and can eventually identify the parts needed from machine diagrams or troubleshooting calls, take ownership of sourcing the part from the vendor, placing the order, and following up with the customer through completion.
