Byrdson Services, LLC is seeking a detail-oriented, organized, and highly skilled Proposal Writer and Response Coordinator to support our proposal development, client-response, business-development, construction, restoration, and disaster-recovery operations.
In this role, you will manage the end-to-end preparation of proposals, bid responses, qualifications packages, client communications, and supporting documentation. You will work closely with operations, project managers, estimators, subcontractors, finance, and leadership to ensure every submission is accurate, professional, compliant, persuasive, and delivered on time.
This position is ideal for someone who combines strong business writing skills with exceptional organization, document control, deadline management, and the ability to coordinate multiple contributors.
Key Responsibilities
Review requests for proposals, bid invitations, client inquiries, scopes of work, and formal response requirements.
Develop proposal outlines, response plans, compliance checklists, schedules, and contributor assignments.
Draft, edit, proofread, format, and finalize proposals, qualifications packages, cover letters, capability statements, bid responses, and related correspondence.
Coordinate with internal departments to gather technical details, project information, schedules, pricing inputs, team qualifications, certifications, and supporting records.
Translate complex project, construction, restoration, disaster-recovery, and operational information into clear, client-ready written content.
Ensure responses meet all client requirements, evaluation criteria, requested forms, formatting instructions, and submission deadlines.
Maintain proposal templates, approved content libraries, project profiles, case studies, resumes, reference materials, and standard response documents.
Organize attachments, exhibits, certifications, insurance documentation, subcontractor information, team resumes, and other submission requirements.
Track proposal deadlines, review cycles, approvals, revisions, outstanding items, and submission status.
Maintain version control and organized digital records for all proposals, responses, client communications, and related documents.
Coordinate internal reviews and secure required approvals before final submission.
Support clarification responses, proposal revisions, addenda, interview preparation, and post-submission follow-up.
Identify missing information, inconsistencies, compliance concerns, or submission risks and escalate them promptly.
Follow company confidentiality, data-security, document-control, and branding standards.
Qualifications
Proven experience in proposal writing, bid coordination, technical writing, business writing, project coordination, or a related role.
Excellent English writing, editing, proofreading, and formatting skills.
Strong ability to organize complex information into clear, concise, and persuasive documents.
Experience managing deadlines, multiple priorities, stakeholder input, and document reviews.
High attention to detail, especially regarding submission instructions, formatting, compliance requirements, and version control.
Strong communication and follow-up skills when coordinating with internal teams and external partners.
Proficiency with Google Workspace, Microsoft Office, Adobe Acrobat, and cloud-based document-management tools.
Ability to work independently in a remote environment while maintaining consistent communication and accountability.
Experience in construction, insurance restoration, disaster recovery, government contracting, estimating, engineering, architecture, or professional services is preferred.
Familiarity with requests for proposals (RFPs), requests for qualifications (RFQs), bids, scope-of-work documentation, and proposal-compliance requirements is preferred.
Preferred Skills
Proposal-management or bid-management experience.
Construction, restoration, mitigation, or disaster-recovery industry knowledge.
Experience working with project managers, estimators, contractors, subcontractors, and operations teams.
Ability to create polished, branded documents and presentations.
Familiarity with CRM, project-management, document-control, or workflow-management systems.
Basic understanding of pricing, estimates, scopes of work, schedules, and construction project documentation.
