JOB OVERVIEW

Compliance Officer and Intake Officer

Primary Responsibilities
Support Worker Intake & Onboarding (50%)
• Intake Management: Oversee the complete intake process for new casual support workers, from initial application through readiness for first client shift
• Documentation Coordination: Prepare, organize, and manage all onboarding documentation, ensuring completeness and accuracy
• Back-Office Training: Conduct comprehensive training on internal systems and procedures, including:
o Time and attendance tracking systems
o Shift management platforms and procedures
o Clock in/out protocols and time recording accuracy
o Shift notes documentation requirements and standards
o Internal communication tools and systems
o Company policies, procedures, and compliance requirements
• Readiness Verification: Confirm all new support workers meet compliance standards and are fully prepared before commencing their first client shift
• Supervisor Liaison: Act as the primary point of contact between supervisors and new support workers during the onboarding phase, ensuring smooth transitions
• Record Management: Maintain organized, accurate records of all onboarding activities and documentation
NDIS Compliance & Administration (50%)
• Compliance Oversight: Ensure the organization maintains full compliance with all NDIS legislative requirements, standards, and guidelines
• Administrative Management: Handle NDIS-related administrative tasks currently distributed among supervisors, including:
o Documentation management and filing
o Compliance record-keeping and reporting
o Policy and procedure implementation
o Regulatory requirement tracking and updates
• Documentation Standards: Maintain accurate, complete documentation in accordance with NDIS standards and organizational policies
• Audit Support: Assist with compliance audits, inspections, and regulatory reporting as required
• Policy Implementation: Ensure organizational policies and procedures align with NDIS requirements and are consistently applied
• Compliance Updates: Stay current with NDIS regulatory changes and communicate updates to relevant staff
• Risk Management: Identify and escalate potential compliance risks or gaps

Required Qualifications & Experience
Essential
• Minimum 2 years of demonstrated, hands-on experience working within the NDIS sector
• Comprehensive knowledge of NDIS compliance requirements, standards, and regulatory frameworks
• Proven experience in support worker intake, onboarding, or HR administration
• Strong proficiency with administrative systems, databases, and documentation management
• Excellent written and verbal communication skills
• Demonstrated ability to train and guide staff effectively
• Strong organizational skills with ability to manage multiple priorities simultaneously
• High attention to detail and commitment to accuracy in record-keeping
• Ability to work independently with minimal supervision
• Reliability and accountability in meeting deadlines
Preferred
• Experience with project management or workflow management tools
• Background in Human Resources or People Operations
• Familiarity with support worker management systems or NDIS-specific software
• Experience in a fast-paced, rapidly growing organization
• Knowledge of Australian employment law and workplace relations
• Experience with compliance auditing or quality assurance processes
• Proficiency in Microsoft Office Suite and data management

Day-to-Day Activities
• Process new support worker applications and coordinate intake documentation
• Conduct onboarding training sessions with new hires
• Prepare and distribute training materials and system access credentials
• Monitor support worker progress through onboarding phase
• Review and verify compliance documentation
• Maintain compliance records and documentation systems
• Respond to compliance-related inquiries from supervisors
• Track NDIS regulatory updates and communicate relevant changes
• Generate compliance reports as needed
• Troubleshoot onboarding issues and escalate when necessary
• Collaborate with supervisors on support worker readiness assessments
