This is not a virtual assistant role and it is not a support role. We are looking for one person to run the daily operation of a growing e-commerce brand so the founder can stop doing it.

If you are looking for a fixed list of tasks and a clean 9 to 5, please don't apply. You will be unhappy and so will we.

ABOUT US

We are a European brand selling personalised jewelry online. Small team, fast growth, everything in English.

Right now the founder is still the person suppliers call, the person the team asks, and the person chasing every open problem. That worked at a smaller size. It doesn't any more, and things that matter are slipping through.

We want to hand that over to one person and never take it back.


WHAT YOU WILL OWN

Suppliers. We manufacture in Asia. Good partners, but they need managing. Delivery dates slip, quality drops, an order goes quiet for two weeks and nobody tells us. You are the one who spots it, raises it, and stays on it until it's solved.

When a batch comes in wrong and it costs us money, you put the numbers on the table and ask for a credit note. Politely, firmly, and you don't drop it because they went quiet. This is the part of the job most people find uncomfortable. It's also the part that pays your salary.

Quality. You turn complaints into data. Which supplier, which product, which fault, how often. Then you take that to the supplier with evidence instead of a feeling. That is how we stop repeating the same mistake every month.

The team. Two customer service specialists report to you. You set their priorities, unblock them, review how they handle the hard cases, and make sure nobody is stuck waiting for the founder to reply before they can do their job.

Brand protection. We spend serious money on marketing, and other stores copy our photos, our product pages and sometimes our entire site. You handle it end to end: collecting evidence, filing takedown requests with the right platforms, tracking every case, and working with our lawyer when it needs to go further. We have already had a competing store taken offline this way. Your job is to make that routine instead of an emergency.

The founder's inbox. You become the filter. Suppliers, team questions, escalations. You solve what you can and bring the founder what genuinely needs a decision, with your recommendation attached.


HOW WE WORK

We don't count hours. We count what gets solved. Some weeks are calm. Some weeks a shipment is stuck, a supplier goes silent and a campaign is live. In those weeks you don't clock out at five and leave it for tomorrow.

You are reachable when it matters. The founder needs to be able to call you when something is urgent. Not every evening, not every weekend, but when it counts you pick up. In return you get real flexibility on the quiet days and nobody watching your clock.

You will be trained by the founder personally for the first weeks: how we handle suppliers, what our quality standard is, how we deal with copycats, and where the line is on decisions you make alone.

This role grows. As the company grows, so does the team under you and the responsibility.


WHAT YOU NEED

**Required**

- 3+ years in operations, supply chain or account management for an e-commerce or product brand
- You have managed overseas suppliers or manufacturers yourself. You know exactly what "we will check and get back to you" means
- You have led people, even a small team
- Excellent written English. You write to suppliers, to your team and to the founder every day, and each needs a different tone
- You can hold someone to what they promised without wrecking the relationship
- Structured. You track things in writing, you follow up on a rhythm, and nothing quietly disappears
