JOB OVERVIEW

Summary

We are looking for a highly capable, proactive, and technically minded Virtual Assistant with previous management, supervisory, or team leadership experience.

This role will focus on Amazon advertising analysis, Amazon product and keyword research, inventory management, data analysis, Canva photo and video editing, and supporting the overall organization and improvement of our Amazon business.

Prior Amazon experience is strongly preferred but is not required. We are willing to train the right person.

The ideal candidate is highly analytical, comfortable with technology, learns new software and systems quickly, and can work independently without requiring constant supervision. A background in engineering, computer science, information technology, data analysis, mathematics, or another technical field is strongly preferred.

A major goal of this position is to find someone who can grow beyond completing individual tasks. The right candidate may eventually manage other VAs, if highly capable, potentially take on broader management responsibilities overseeing additional virtual assistants.

Primary Responsibilities

- Analyze Amazon advertising performance and identify trends, problems, and opportunities
- Review advertising data including sales, spend, ACOS, ROAS, conversion rates, keywords, search terms, and other performance indicators
- Prepare clear Amazon advertising reports and recommendations
- Conduct Amazon product research and evaluate potential product opportunities
- Research competitors, pricing, sales estimates, reviews, product trends, and market conditions
- Conduct Amazon keyword research and analyze keyword relevance, search volume, competition, ranking, and performance
- Use Jungle Scout, Keepa, Helium 10, and other Amazon research tools
- Monitor Amazon inventory levels, sales velocity, inbound inventory, and potential stock-out risks
- Assist with inventory forecasting and reorder planning
- Maintain organized spreadsheets, reports, dashboards, and research files
- Create and edit basic product graphics, marketing materials, photos, and short videos using Canva
- Attend collaborative work sessions and review priorities with the client
- Provide clear progress updates and document completed work
- Identify problems, inefficiencies, and opportunities for improvement without waiting to be asked
- Create and improve processes, checklists, SOPs, and documentation

Preferred Experience & Skills

- Previous management, supervisory, team-lead, operations, or project-management experience
- Strong analytical, critical-thinking, and problem-solving skills
- Engineering, computer science, information technology, mathematics, statistics, data analysis, or similar technical background
- Strong Excel and/or Google Sheets skills
- Experience supporting an Amazon or e-commerce business
- Experience with Canva, photo editing, or video editing
- Experience creating SOPs, checklists, processes, and quality-control systems
- Ability to communicate clearly, respectfully, and professionally
- Self-starter who takes initiative and thinks ahead

The following experience is considered a plus but is not required:

- Engineering degree or professional engineering experience
- Computer science, programming, or IT experience
- Data analytics or business intelligence experience
- Advanced Excel or Google Sheets experience
- SQL, Python, scripting, Google Apps Script, or similar technical skills
- Workflow automation experience
- Experience with ChatGPT or other AI tools for business applications
- Amazon PPC campaign management experience
- Amazon FBA inventory management
- Experience supervising Amazon analysts or e-commerce employees
- Experience managing larger remote or virtual teams

Stretch Goals / Responsibilities

- As the candidate becomes trained and demonstrates strong performance, the role may expand to include independently managing Amazon advertising analysis, product and keyword research, inventory planning, Amazon reporting, and other e-commerce operations.
- The candidate may also take responsibility for managing two existing Amazon analysts, reviewing their work, establishing deadlines and quality-control processes, providing training, monitoring performance, and ensuring projects are completed accurately and on time.
- For an exceptionally capable candidate, the role may eventually expand into a broader management position overseeing additional virtual assistants and potentially helping manage a remote team of approximately 10–15 people.
- The long-term goal is to develop this person into a trusted Amazon and operations leader who can identify problems before they become urgent, improve systems and processes, train others, make recommendations, and take increasing responsibility without requiring constant supervision.
