About the Company
We are a Chicago-based luxury fine jewelry company with a growing direct-to-consumer business and international retail presence.
We are looking for a highly organized and proactive E-Commerce & Brand Operations Coordinator to support the daily execution behind our website, social media, production, retail partnerships, and brand presentations.
The objective is to keep important projects moving, support online revenue growth, and give the Founder and CEO more time to focus on sales, clients, partnerships, and creative direction.
The Role
This is a hands-on coordination and execution role for someone who enjoys working across e-commerce, content, and business operations.
You will manage recurring tasks, maintain accurate information, follow up consistently, and anticipate what needs to happen next. You must be comfortable moving between Shopify updates, product images, production trackers, retailer requests, presentations, and social media scheduling.
This is not a Shopify developer or senior marketing strategist position. Technical development, original content production, and high-level brand strategy will be handled separately.
Key Responsibilities
E-Commerce
Create and update Shopify products, variants, collections, tags, metafields, pricing, inventory, and product information
Resize, rename, organize, and upload product and editorial images
Maintain accurate collection mapping and product categorization
Prepare website updates for launches, campaigns, events, and press moments
Review the website regularly and flag errors, missing information, broken links, or outdated content
Coordinate with Shopify developers and other specialists
Test website updates across mobile and desktop devices
Prepare basic Shopify and website performance reports
Social Media and Brand Execution
Maintain the social media content calendar
Schedule and publish approved content across Instagram, Pinterest, TikTok, and YouTube
Resize and adapt existing assets for different platforms
Prepare initial caption drafts using approved brand information
Tag products, retailers, press, collaborators, and partners accurately
Repurpose product, editorial, email, press, and event content
Organize content assets and coordinate materials from photographers and content creators
Monitor basic comments and messages and escalate those requiring management attention
Prepare regular social media performance reports
Production and Inventory Coordination
Maintain purchase order, production, inventory, and shipment trackers
Liaise with production partners regarding order status, timelines, shipments, invoices, and discrepancies
Follow up consistently on outstanding items
Record received pieces and update relevant inventory information
Track product transfers, returns, repairs, and special orders
Flag delays, missing information, and decisions requiring immediate attention
Retailer and Sales Support
Maintain accurate retailer, assortment, pricing, inventory, and sales information
Prepare line sheets, assortment documents, inventory lists, sales reports, and product presentations
Coordinate product information, images, and other materials requested by retailers
Track retailer follow-ups, deadlines, returns, shipments, and open issues
Draft routine follow-up emails for review
Help prepare materials for appointments, trunk shows, presentations, and market meetings
Organization and Reporting
Maintain clear action lists, trackers, folders, and project records
Follow up on delegated work without waiting to be reminded
Prepare a concise weekly report covering completed work, priorities, delays, and decisions required
Document recurring processes and create simple systems that improve efficiency
Protect confidential company, client, supplier, and retailer information
Core Skills Required
Shopify and e-commerce administration
Experience managing products, collections, images, variants, metafields, inventory, and website updates in Shopify.
Operations and project coordination
Strong ability to maintain accurate trackers, manage deadlines, follow up with multiple partners, and move projects forward independently.
Visual and digital brand execution
Experience with Canva, presentations, image preparation, social scheduling, and maintaining a consistent visual standard.
The Ideal Candidate
Has two to four years of experience supporting an e-commerce, fashion, jewelry, beauty, home, or lifestyle brand
Is exceptionally organized, accurate, and attentive to detail
Takes ownership and identifies the next action without constant supervision
Communicates clearly and professionally in written and spoken English
Is comfortable working with detailed product codes, pricing, inventory, and production information
Has strong working knowledge of Shopify, Canva, Excel or Google Sheets, and PowerPoint or Google Slides
Can manage several workstreams while following a clear order of priority
Is comfortable learning new systems and documenting processes
Can work independently in a remote environment
Can overlap with Chicago business hours for at least three to four hours daily
Experience with Klaviyo, social media scheduling platforms, Adobe tools, luxury products, wholesale accounts, or jewelry production is helpful but not required.

Compensation and Schedule
$8–$10 USD per hour, depending on experience
30–40 hours per week
Remote position based in the Philippines
Three to four hours of daily overlap with Chicago business hours required
Compensation review after the first 90 days based on performance
