A small, established U.S. services company is hiring a full-time operator in the Philippines to make the business run with greater clarity, follow-through, and discipline.
We serve customers through several physical locations and a substantial remote program. We also work with international partners and are building internal software to replace fragmented tools and make the operation easier to manage. We are keeping the company name private in the public advertisement and will share it with selected interview candidates.
This is an operating seat, not an executive-assistant queue and not a CFO or controller position. You will work directly with the founder, but you will not wait for a daily task list. Your job is to understand how customers, money, work, and commitments move through the company, identify what is stuck or unclear, and bring it to a responsible conclusion.
WHAT YOU WILL OWN
- Maintain one dependable view of customer status, open opportunities, onboarding, delivery, billing, receivables, risks, owners, and next actions.
- Pursue loose ends with customers, staff, partners, and vendors until each item is resolved, deliberately deferred, or escalated with a recommendation.
- Make sure inquiries, purchases, renewals, refunds, billing questions, and collection items do not disappear between systems or people.
- Prepare a short weekly founder brief covering cash, expected receipts, urgent obligations, customer risks, decisions, and unresolved exceptions.
- Keep the operating cash calendar current, including expected receipts, invoices, rent, payroll inputs, recurring bills, and unusual commitments.
- Perform light bookkeeping and finance operations: review invoice support, track AP and AR, match payments to customers or invoices, code straightforward expenses, perform basic reconciliations, investigate exceptions, and keep documentation organized.
- Coordinate with the bookkeeper, controller, payroll provider, and tax professional. You are not expected to replace technical specialists, but you are expected to give them complete records, ask good questions, and follow their open items to completion.
- Build practical SOPs, checklists, dashboards, escalation rules, and handoffs after you understand the real work.
- Become a serious daily user of our emerging internal operating platform. Identify missing states, controls, reports, and automations, test improvements, and explain what the system needs to support the business.
- Lead or coordinate additional support later when the workload justifies it. The role begins hands-on.
WHAT THIS ROLE IS NOT
- It is not calendar management, inbox triage, or a collection of unrelated assistant tasks.
- It is not a pure project-management role where updating the board counts as finishing the work.
- It is not a senior-finance title that delegates all transaction-level work.
- It is not the sole technical accounting seat. Historical cleanup, formal close, tax work, and complex accounting remain with qualified specialists.
FIRST 30 DAYS
By day 30, the successful operator will have:
- Produced a clear operating map of customers, revenue flows, recurring obligations, systems, access needs, owners, and unresolved risks.
- Established and consistently used one follow-through system plus a concise founder communication rhythm.
- Completed a books and finance-operations diagnostic, organized the available support, resolved routine discrepancies within the role’s scope, and created an owner, priority, and target-date plan for specialist items.
- Documented at least three high-priority SOPs selected with the founder and created a practical improvement backlog.
Success does not mean that every inherited problem must be solved in 30 days. It means demonstrated ownership, useful discovery, dependable communication, sound escalation, and concrete progress on these outcomes.
WHAT STRONG EVIDENCE LOOKS LIKE
- At least five years in business operations, customer operations, revenue operations, practice or agency operations, account management, implementation, project operations, or a comparable role with real ownership.
- A history of personally rescuing stalled work, revenue, customer commitments, or cross-team projects and changing the process so the same failure became less likely.
- Clear spoken and written English with U.S. customers and a founder.
- Comfort with CRM, billing, task, documentation, spreadsheet, and automation tools. Experience with QuickBooks Online, Xero, Stripe, or similar systems is useful.
- Enough bookkeeping fluency to follow an invoice or payment from source record through the books, find a mismatch, and know when to involve an accountant.
- Good judgment with customer, employee, and financial information.
- The ability to give a concise recommendation when facts are incomplete, distinguish an assumption from a fact, and escalate early when risk is material.
- Interest in one primary, long-term operating role rather than adding another client to a crowded schedule.
No CPA is required. We care more about personally owned outcomes, clear mechanics, and trustworthy judgment than titles or polished generalities.
PRACTICAL ARRANGEMENT
- Full-time primary commitment: 40 hours per week, Monday through Friday
- Eight consistent working hours per day
- At least five consecutive hours must fall between 7:00 AM and 7:00 PM U.S. Pacific and remain on the Pacific clock when daylight-saving time changes
- Compensation: PHP 100,000 per month during a paid 30-day initial performance period. Beginning on day 31, compensation becomes PHP 120,000 per month if employment continues and the stated first-month outcomes have been met, plus 13th-month pay
- Long-term remote position in the Philippines
- Company identity shared with selected interview candidates
- References and a paid, controlled work simulation may be requested only at a later stage
