JOB OVERVIEW

We are looking for a reliable and professional Virtual Assistant (Appointment Setter) to serve as one of the first points of contact for our customers.

This is a full-time, long-term position with fixed working hours from 9:00 AM–6:00 PM Central Time (CT), Monday–Friday.

Your primary responsibilities will include handling inbound and outbound customer calls, scheduling and confirming appointments, updating our CRM, following up with customers, and maintaining clear communication between our clients and team.

This role is ideal for someone who is organized, dependable, confident speaking with customers over the phone, and committed to providing excellent customer service.

Key Responsibilities

Answer inbound customer calls promptly and professionally.

Make outbound calls for appointment scheduling, confirmations, and customer follow-ups.

Schedule, confirm, reschedule, and update appointments in our CRM.

Maintain accurate customer information, notes, and appointment records.

Follow up with customers regarding appointments and service requests.

Provide light administrative support, including data entry and file updates.

Communicate important customer needs, concerns, and scheduling updates to the team.

Maintain a friendly and professional customer experience at all times.

Requirements

Must be available to work 9:00 AM–6:00 PM CT, Monday–Friday.

1+ year of experience in customer service, appointment setting, call handling, or Virtual Assistant work.

Strong spoken and written English communication skills.

Confident and professional phone presence.

Comfortable handling both inbound and outbound calls throughout the workday.

Reliable, punctual, and able to consistently work the required schedule.

Reliable high-speed internet connection.

Quiet and professional workspace suitable for customer calls.

Experience using CRM software and Google Workspace is preferred.

Strong attention to detail and organizational skills.

Ability to follow processes and communicate effectively with a remote team.
