Client Experience Coordinator
Remote | Full time | US Eastern hours | Long term
Read this part first: Our office hours are 8:30am to 5:30pm US Eastern time.
If you are in the Philippines, that is 8:30pm to 5:30am. A full night shift, every working day.
We put this at the top on purpose. People underestimate what a permanent night shift costs them, and the ones who underestimate it do not last. If you have never sustained nights, think hard before applying. If you have, you already know exactly what we are asking, and you are the person we want to hear from.
Who we are
Aladdin Appraisal is a family-run real estate appraisal firm in Greater Boston, serving attorneys, families settling estates, divorcing couples, homeowners and lenders. We have grown every year since 2014, and we give a share of profits to early childhood health and education.
What the job actually is
You are air traffic control for the front office.
On any given night there are six to twelve live jobs in the air at different stages. A lender who needs a quote. An attorney with an estate deadline. An inspection being scheduled. A signed contract waiting to be set up. A report being delivered. A client asking where things stand.
None of them can be dropped, and they do not arrive in a helpful order.
You will own:
Responding to new inquiries fast and professionally
Drafting and sending accurate proposals within our fee guardrails
Coordinating inspection scheduling
Keeping the CRM accurate, every opportunity in the right stage, no orphan records
Communicating clearly from first contact through final delivery
Triggering our review and referral process
Documenting what you learn so the next person has it easier
What winning looks like
Every new inquiry acknowledged within 10 minutes during your shift
Proposal accuracy above 98 percent
Signed to scheduled inside target
Zero dropped client threads. This is the one that matters most.
A steady flow of 5-star reviews
Who this role is for
You:
Keep a written list and work from it. You will be asked to show us.
Can hold several unfinished jobs in your head and come back to each one
Write excellent English
Stay calm when three things go wrong at once
Tell people bad news early rather than hoping it resolves itself
Are comfortable being measured
Use AI tools well and know how to research before asking a basic question
Want a long-term position, not freelance work between other things
CRM experience helps. Real estate experience is a plus, not a requirement.
Requirements we cannot flex on
Full-time availability 8:30am to 5:30pm US Eastern, five days a week. In the Philippines that is 8:30pm to 5:30am.
Backup power that keeps you working through an outage, and a second internet connection, either a second provider or mobile data with enough allowance to run a full shift
A quiet, dedicated workspace for the whole of your shift
Spoken English clear enough that a US client understands you easily on a first phone call. You will be on the phone with attorneys and homeowners every shift.
This will be your only paid work. We ask about other clients or contracts in the interview and it goes in the agreement. We are not trying to catch anybody out. We simply cannot share your working hours with another employer.
Night-shift experience strongly preferred

A short paragraph answering this one question: "Describe the system you use to make sure nothing you owe someone gets forgotten. Be specific about the tool and the habit."
Applications missing any of the five will not be read. That is not us being difficult. Following a five-part instruction precisely is the job.
Applications close Tuesday, September 1 at 11:59pm Manila time. Decisions by Friday. If you have not heard from us by Friday, you were not selected this round.
