JOB OVERVIEW

Job Title: Operations Assistant

We are looking for an Operations Assistant with a strong background in commercial real estate to join our team. In this role, you’ll act as the front of house for our property operations, serving as the primary point of contact for our vendors and tenants. I also need you to act as my internal quality control check on all property-related invoices.

Primary Responsibilities
- Serve as the key liaison and primary point of contact for tenants, contractors, utility companies, and banks
- Coordinate and track vendor communication and maintenance issues from inception to completion
- Utilize your real estate background to oversee property operations and proactively identify when physical or operational situations require my attention
- Review and identify issues with third-party prepared Annual Common Area Expense (CAM) Reconciliations
- Monitor, review, and audit all data entered into Yardi by our offshore bookkeeping team to ensure absolute accuracy
- Track and approve incoming property and vendor invoices, reviewing financial activity for reasonableness and flagging and discrepancies before payments are made
- Apply critical thinking and common sense to expense tracking (e.g., ensuring utility bills follow expected seasonal patterns and landscaping occurs on standard monthly schedules)
- Monitor bank accounts via view-only access to track incoming rent receipts, verify cash activity, and ensure bills are legitimate and paid at the appropriate time

Qualifications:
- At least 2 years of experience in real estate operations, property administration, or as a real estate Executive Assistant
- Familiarity with Yardi Breeze is highly preferred
- Ability to independently evaluate property issues and invoices to verify their practical and financial soundness
- A sharp eye for detail to spot minor errors that others might overlook
- Strong multitasking skills to effortlessly manage multiple vendor initiatives concurrently
- Availability to work during EST business hours (Philippine graveyard shift)
