FIXED WORK SCHEDULE - REQUIRED
Monday to Friday, 9:00 a.m. to 5:00 p.m. Pacific Time. This schedule is fixed and non-negotiable. Applicants must have at least two years of proven experience working these same days and hours in a prior role.
Who We Are
Reside Management is a progressive residential property management company based in Vancouver, B.C, Canada. We manage single-unit and multi-family properties across the Lower Mainland.
We are expanding our accounting support team and are looking for an experienced Virtual Accounting Assistant who wants a stable, long-term role and can contribute with accuracy from day one.
About the Role
This is a hands-on accounting position supporting the day-to-day and month-end financial operations of a residential property management portfolio. You will work closely with management, property managers, and the accounting team to maintain complete and accurate records in Buildium, QuickBooks, Google Sheets, and Microsoft Excel.
The successful candidate understands property management accounting, catches discrepancies before they become problems, follows written procedures carefully, and asks clear questions when information is incomplete.
Key Responsibilities
1. Maintain accurate tenant, owner, property, vendor, and general ledger records in Buildium.
2. Record and review rent, deposits, management fees, owner contributions, vendor charges, reimbursements, and other property transactions.
3. Process accounts payable and accounts receivable, including invoice review, coding, approval tracking, posting, and payment preparation.
4. Complete bank, credit card, trust, operating, and clearing-account reconciliations and promptly investigate discrepancies.
5. Review tenant ledgers, rent rolls, outstanding balances, unapplied funds, security deposits, and recurring charges for accuracy.
6. Prepare and review owner statements, monthly financial reports, supporting schedules, and month-end workpapers.
7. Maintain accurate records in QuickBooks Online and ensure entries agree with approved source documents and supporting systems.
8. Use Google Sheets and Microsoft Excel to reconcile data, track exceptions, analyze variances, and prepare clear management reports.
9. Support Canadian and B.C. property management accounting processes, including GST-related records and trust-account documentation, under the direction of authorized team members.
10. Organize invoices, receipts, statements, approvals, and audit support in accordance with the company filing system.
11. Identify missing documents, unusual balances, duplicate entries, and process gaps; escalate issues with a clear explanation and proposed next step.
12. Follow established procedures, complete assigned work by deadline, and communicate progress or blockers promptly.
Required Experience and Qualifications
13. Property management accounting: Minimum three years of hands-on accounting or bookkeeping experience in residential property management or real estate.
14. Canadian experience: At least two years of accounting experience with a Canadian property management company is required. Experience in British Columbia is strongly preferred.
15. Pacific Time schedule: At least two years in a prior position consistently working Monday to Friday, 9:00 a.m. to 5:00 p.m. Pacific Time is required.
16. Buildium: Minimum two years of regular, hands-on experience. You must be able to navigate accounting workflows confidently and use the platform with limited training.
17. QuickBooks: Strong working experience with QuickBooks Online, including transaction entry, coding, reconciliations, and financial reporting.
18. Spreadsheets: Strong Google Sheets and Microsoft Excel skills, including formulas, filters, sorting, lookups, pivot tables, and reconciliation schedules.
19. Accounting knowledge: Practical understanding of accounts payable, accounts receivable, general ledger coding, bank reconciliations, tenant ledgers, deposits, owner statements, and month-end close.
20. Accuracy and judgment: Excellent numerical accuracy, attention to detail, and ability to recognize when information does not reconcile.
21. Communication: Strong written and spoken English, active listening skills, and the ability to follow instructions and document work clearly.
22. Work style: Reliable, organized, coachable, willing to learn, and able to manage priorities independently while remaining accountable to the team.
23. Remote setup: A quiet professional workspace, reliable high-speed internet, a dependable computer, and a practical backup plan for power or internet interruptions.
24. Confidentiality: Demonstrated discretion when handling banking information, owner statements, tenant records, and other confidential financial information.
