We run two US LLCs and we want one person to own the books for both.
Both are small - roughly $100,000 in annual sales each - so the volume is modest. What we need is accuracy and consistency.
YUM CREATIVE LLC - digital content production
Budget: $80/month
Food photography and video production, around $100k/year. 3-4 bank and card accounts. Client invoicing and receivables, contractor payments, software subscriptions, equipment and shoot costs. Straightforward books, low transaction volume.
JARGANIC LLC - ecommerce - $150/month
Around $100k/year, but this is the demanding one. Accrual basis. Physical product inventory. 2 bank accounts and these sales channels:
- Amazon
- Walmart
- Etsy
- Shopify
- Mirakl (Lowe's and JC Penney)
TOTAL: $230/month for both entities.
WHAT YOU'LL ACTUALLY DO EACH MONTH
Both entities:
- Categorise and reconcile every bank and card account
- Close the month/quarter and deliver a full set of financial statements - P&L, balance sheet, cash flow - by an agreed date each quarter
- Keep the chart of accounts tidy and consistent so the numbers stay comparable month over month
- Maintain the fixed asset register and depreciation schedules
- Flag anything that looks wrong before we have to ask
Jarganic specifically:
- Marketplace settlement accounting done properly - gross sales, refunds, referral fees, fulfilment fees, storage, advertising and reserve movements all broken out. The bank deposit is not revenue.
- Inventory and COGS, with in-transit, FBA/WFS and 3PL stock tracked separately
- Mirakl (Lowe's, JC Penney) has no off-the-shelf QuickBooks connector, but we may be able to connect via Shopify - you'll build and post those settlement journals from the remittance reports
- Sales tax awareness (not filling yet): marketplace facilitator channels versus our direct Shopify sales
- Correct month-end cutoff on settlement periods that straddle the month boundary
ONCE A YEAR: THE TAX-READY PACKAGE. INCLUDED IN THE FEE.
For each entity you deliver:
- Final adjusted trial balance and year-end financial statements
- Bank and credit card reconciliations tied out through 31 December
- Inventory rollforward for Jarganic, agreed to the year-end count, with the landed-cost basis documented
- Fixed asset roll: additions, disposals and the book depreciation schedule
- AR and AP aging, loan and related-party balances
- A schedule of transactions between each company and its non-US owner, since both are foreign-owned LLCs and those have to be reported.
In other words: a clean, documented package a tax preparer can work from without coming back to us with questions.
What is NOT included, because it needs a credential and carries filing liability: converting the book numbers to tax basis (MACRS, Section 179 and bonus depreciation elections), and preparing and signing the returns themselves. If you hold the credentials below, we will pay you separately for that.
THE PART THAT MATTERS MOST TO US
We are not looking for a data-entry service. We are looking for someone who thinks and remembers.
Concretely, that means:
1. You propose, you don't just ask. When something unfamiliar hits the feed, you come back with "I've coded this to X because Y - confirm or correct," not "what is this?"
2. You ask once. Every recurring transaction gets a bank rule and a line in a written treatment log we can both see. We should never be asked about the same vendor twice.
REQUIREMENTS
Must have:
- Active QuickBooks Online ProAdvisor certification. Send the link to your public Find-a-ProAdvisor profile. Intuit only publishes profiles for advisors with current, valid certification, so that link is how we verify. A screenshot of a badge is not enough.
- Hands-on ecommerce bookkeeping experience: marketplace settlements, inventory, COGS
- Accrual accounting, not cash basis
- Fluent written and spoken English
BIG PLUS: US TAX CREDENTIALS
We do not need a US-based accountant and we are not looking for a US firm's pricing. We need someone who is credentialed to prepare US federal returns, and we do not care where you sit. Philippines, India, anywhere - if you hold one of these, say so clearly and we will treat your application as a priority:
- IRS Enrolled Agent (EA).
- US CPA licence. Give us your licence number and the state that issued it.
- Active PTIN. Required for anyone we pay to prepare our federal returns. If you hold an EA or a CPA you will already have one - tell us your status either way.
If you hold any of these, we will engage you separately to prepare and file the US returns for one of the companies. That is paid work on top of the monthly bookkeeping fee.
OUR SETUP
We hold and pay for the QuickBooks Online subscription. We will connect the bank feeds and the sales channel integrations so the mechanical work is automated as far as it can be.

Not included in the monthly fee, quoted separately:
- Initial setup, catch-up, or clean-up of historical books
- Annual US tax return preparation (credentialed preparers only EA, CPA, PTIN, or AFSP)
