We're looking for a sharp operator to help us keep it all running cleanly.
The Role
This is a right-hand role, not a task-execution seat. You'll work directly with our Senior Marketing Operations Manager as the person who keeps our marketing operations organized and running. You'll own our processes end to end: understanding how each workflow works, coordinating the day-to-day flow of work across a small team, quality-checking output, and being the first to spot when something breaks — diagnosing the root cause and bringing a proposed solution, not just a flag that there's a problem.
To be clear on the structure: *you won't be anyone's manager.* The team reports to our Senior Marketing Operations Manager. Your job is to own the *processes and coordination* so that fewer things need to escalate — and when they do, they arrive with your recommended fix attached. The outcome we're hiring for is a marketing operation that runs smoothly with less firefighting.
You'll also stay hands-on with the recurring work yourself — because you can't coordinate or improve a process you don't understand deeply. But understanding the work well enough to own and improve it matters far more than performing it. This is a fully remote position. Success requires strong critical thinking, self-discipline, and the ability to coordinate others through influence rather than authority.
What You'll Own (Primary Focus)
- Coordinate the day-to-day workflow across a small team of remote agents — keeping the right work moving in the right order, on schedule.
- Own the processes — maintain and improve our SOPs so the operation runs consistently without constant supervision from leadership.
- Diagnose and solve problems — when a workflow breaks or data goes inconsistent, find the root cause and propose a fix rather than waiting for direction.
- Quality-control output — review work for accuracy and consistency across all facilities before it ships.
- Be the first point of contact — the go-to when a process is unclear or something isn't lining up, so questions don't all route to leadership.
- Report up clearly — concise status on what's running well, what's at risk, and what you've already resolved.
What You'll Also Do (Secondary — You Coordinate These, So You Must Know Them)
- Maintain and update marketing data, trackers, and reports in Google Sheets and internal systems.
- Support content publishing workflows: data entry, formatting, and quality checks.
- Assist with local SEO and digital marketing initiatives following established processes and templates.
- Use AI tools to accelerate content preparation and operational tasks.
- Run QA checks so marketing assets, listings, and data stay accurate and current.
- Document processes and suggest improvements.
Who We're Looking For
- 3–5 years of experience in marketing operations, digital marketing, or a similar role (digital marketing strongly preferred).
- Experience coordinating other people's work or output — even without being their manager. You've been responsible for more than just your own tasks.
- Proven problem-solving and root-cause troubleshooting — you can take a broken process apart, figure out what actually went wrong, and fix it.
- A "propose a solution" habit — when you escalate, you bring a recommendation with it.
- Strong process documentation and improvement skills.
- Strong proficiency in Google Workspace, especially Google Sheets (formulas, filters, data validation, basic analysis).
- Ability to learn new tools independently, including AI-driven and automation platforms.
- Excellent written communication and the ability to give clear, precise instructions to others.
- Organized, reliable, and able to keep a team's work on track in a remote environment.
