JOB OVERVIEW

About the Role

Our Lead to Lease Team runs a tenant side transaction, luxury rental operation in Miami/Broward — high-end condos, demanding clients, caller, TC, marketing, and a bench of showing agents who need to be held accountable. We are building our foundation for Q4 and expanding across Florida in 2027. This is not property management. This is not bulk listings. We are in the business of moving deals, and every lead and every deal needs an owner, a next step, a deadline, and someone making sure it happens.

This role sits directly below the lead Real Estate Agent. You are the operational layer between the agent and the team. The agent sets direction and handles the high-value conversations. You make sure everything behind that runs clean: leads are moving, agents are following through, showings are confirmed, applications are in process, and nothing is sitting idle without a reason.

The rental business has its own workflow, its own pressure points, and its own failure modes. A generic manager who is good at attendance tracking and KPIs but has never worked a rental pipeline will not know where a deal is actually breaking. We need someone who understands — or can get up to speed fast on — how a lead becomes a showing, a showing becomes an application, an application becomes a CTL, and a CTL becomes a closed deal. And more importantly: who knows exactly where things fall apart along that path and how to fix it.

What You'll Do

Your job is simple to say and hard to execute: make sure every lead and every deal has an owner, a next step, a deadline, and accountability. That means:

- Monitor the full pipeline daily — lead response times, qualification status, showing coverage, application progress, transaction deadlines
- Run daily team check-ins: who owns what, what moved yesterday, what is stuck today
- Hold agents accountable for follow-through — if a showing agent goes quiet after a tour, that is your problem to solve
- Be the first answer for VAs — answer questions, correct output, escalate only what needs the agent
- Confirm every showing: access confirmed, tenant packet ready, agent briefed
- Manage the CRM — every lead in the right stage, every next action logged, no dead air
- Handle or escalate client communication issues before they become complaints
- Identify when something is a compliance or brokerage-level issue and flag it immediately
- Review applications, CTL paperwork, and transaction documents under agent direction
- Know at any moment where each active deal is stuck and who owns the next action (quickly)

What We're Looking For

This role requires both of the following — not one or the other:

Rental market experience — specifically in Miami luxury residential. You have worked in the rental space for a real estate agent: luxury condos, urban high-rises, HOA-managed buildings. You know what a CTL is, what RentSpree is, what an HOA approval process looks like, and what it means to move fast in a competitive lease situation. You understand that our clients are making high-stakes decisions and handle them accordingly. Property management, manufactured housing, suburban leasing, or bulk portfolio experience does not apply here.

People management experience. You have been responsible for whether other people got their work done — not just your own tasks. You have held a VA or showing agent accountable, run a team call, corrected someone's work, and followed through until it was right. You are comfortable owning a meeting and you do not disappear into the background when someone needs to be held to a commitment.

Additional requirements:

- You can look at a pipeline and immediately identify where a deal is stuck and who owns the next action
- You write clearly and professionally — no sloppy grammar in your own messages or documents
- You are proactive — you surface problems before they become emergencies
- CRM experience required (GoHighLevel preferred), Google Workspace, calendar tools
- You understand that this role reports directly to a licensed Real Estate Agent. This is a strong #2 position, not an autonomous executive role. You lead the team beneath you and execute.

You are NOT a fit if:

Your rental experience is outside of Miami luxury residential (manufactured housing, suburban PM, bulk portfolios)
Your background is purely execution — data entry, appointment setting — with no history of managing other people's work
You avoid team calls or prefer to stay in the background
You have changed jobs every 6 months
You expect commission or per-deal pay
