About the role
GoHighLevel has become the spine of how we sell, onboard and retain across our B2B business — but right now it runs as a collection of individual workflows rather than one connected system. We're looking for someone who can see the whole picture: audit how the platform is actually being used, connect it properly to Shopify and our wholesale application, and turn the data it holds into dashboards that management and the sales team can act on without stitching numbers together by hand.

This is a systems-and-numbers role, not a workflow-building one. You'll own how our platforms talk to each other, what data we capture, and how we measure the journey from a Facebook ad through to a repeat wholesale order. The distinction matters, so we've made it explicit at the bottom of this brief.

Captures and manages leads from Facebook and Instagram advertising
Supports our Shopify B2B trade-account journey

Powers outbound sales calls and follow-up tracking
Handles social media messages and comments
Segments customers and leads
Supports our wholesale and distributor pipelines

Our stack: GoHighLevel (CRM/automation), Shopify (B2B trade store), ---------- (primary integration layer), plus Xero, Gorgias and a wholesale-application flow feeding into the above.


What you'll own
1. Audit the complete customer journey. Map every stage from acquisition to retention — Facebook/Instagram ad → Become a Stockist page → Shopify trade-account application → wholesale approval → GoHighLevel contact creation and tagging → welcome flow → sales follow-up → first order → repeat order → retention. Then pinpoint where it's leaking: where leads get lost, where data is missing or duplicated, whether tags and fields are applied correctly, whether each lead enters the right workflow, whether the sales team can see the next required action, and whether conversions can be attributed to the correct source and campaign.

2. Integrate Shopify, the wholesale app and GoHighLevel. Review our current integrations and recommend the most reliable way to connect these systems — via native integrations, APIs, webhooks or ---------- (Zapier where appropriate). The goal is trustworthy visibility into things we currently can't see cleanly: new trade-account applications by day/week/month, application source, approval and rejection status, approved accounts that haven't ordered, time from application to approval, time from approval to first order, first-order conversion rate, average first-order value, repeat-purchase rate, and inactive or at-risk wholesale customers.

3. Build dashboards management can d ---------- from. Clear, self-serve dashboards across five areas:

Lead acquisition — volume by day/week/month, source/channel/campaign/ad, cost per lead where ad data exists, Become a Stockist applications, lead quality by source, and duplicate/incomplete/invalid leads.
Wholesale pipeline — new applications, awaiting review, approved vs declined, approved-but-not-ordered, lead-to-approval and approval-to-first-order conversion, average time to first order, revenue by acquisition source, and repeat/reactivation performance.
Sales activity — calls made, contact rate, follow-ups completed vs overdue, lead response time, appointments booked, stage conversion, conversion by salesperson, lost-lead reasons, and revenue influenced by follow-up.
Automations & welcome flows — contacts entering each workflow, email/SMS delivery, opens/clicks, replies, unsubscribes, first orders generated, revenue influenced, conversion by message and by workflow, and drop-off points.
Distributor pipeline — prospects by country/territory, current stage, last contact and next action, estimated value, samples/proposals sent, negotiation status, expected decision date, won/lost with reasons, conversion by country and stage, and revenue from active distributors.

4. Rebuild segmentation. Turn our existing data into commercially useful segments — new leads, trade applicants, awaiting approval, approved-not-purchased, first-time buyers, repeat wholesale, high-value, approaching reorder, lapsed/inactive, Education/Mastery participants, salon partners, distributor prospects, active distributors — cut further by country, source and product interest.

5. Measure workflow-generated revenue. Give us a real attribution method for our welcome, nurture, reactivation and education flows: how many entered each flow, how many completed the intended action, how many ordered, how much revenue resulted, how long conversion took, which messages influenced it, which audiences convert best, and which workflows to improve, stop or expand.

6. Recommend what's next. Once you understand the business, propose further ways GoHighLevel can lift lead management, sales follow-up, onboarding, wholesale activation, retention, distributor management, Education/Mastery journeys, social communication, customer service, reporting and internal accountability — prioritised by expected impact, cost and implementation complexity.

What you bring
This is the line between the specialist we need and someone who builds basic workflows. You can demonstrate that you have previously:

Connected GoHighLevel with Shopify or another e-commerce platform in a live sales operation
Designed CRM architecture for a real sales team, not just individual funnels
Built management dashboards that drove commercial decisions
Tracked leads from acquisition all the way through to revenue
Measured automation performance and conversion, not just delivery
Diagnosed and fixed missing, duplicated or unreliable data

Core capabilities

Advanced, hands-on GoHighLevel expertise (CRM architecture, pipelines, automations, reporting)
Shopify and B2B/wholesale experience
Multi-platform integration via APIs, webhooks, ---------- or Zapier
Lead attribution and conversion measurement across a full lifecycle

Email

Strong grasp of sales funnels and customer-lifecycle management

The important distinction
This role is not suited to someone whose experience is limited to landing pages or basic email workflows. We need someone who thinks in systems and revenue — who can look past the individual automation and tell us what data we need, where it should come from, how our platforms should communicate, and how that should surface as decisions we can make.


Practical skills test (paid)
Shortlisted candidates complete a short paid test. Review our current journey from Facebook ad → Shopify trade-account application → GoHighLevel follow-up → first wholesale order, identify the main tracking gaps, and propose the fields, tags, pipeline stages, integrations and dashboard metrics needed to measure the complete journey. Present:

A basic customer-journey map
The five biggest current visibility risks
The data that must pass between each platform
Your proposed dashboard structure
How you'd attribute the first order to its original source and welcome flow
Your recommended implementation priorities

This quickly separates a genuine CRM and data specialist from someone who only knows how to build workflows.
