The Project Manager (Project Manager) is the operational “air-traffic controller” for active construction projects. You keep projects moving by coordinating communication, scheduling, documentation, purchasing support, inspections, and payment/change-order tracking—while protecting the production team’s time and maintaining clear client expectations. This is a remote role supporting California projects; you must work Pacific Time hours and coordinate across multiple stakeholders.
Core Responsibilities
• Project documentation & research: maintain complete project files, permit/inspection notes, plan sets, client communications, and internal logs
• Materials coordination: support ordering and delivery coordination; confirm site readiness; track lead times; flag risks early
• Stakeholder coordination: communicate with crews, subcontractors, and clients to ensure clarity, alignment, and next actions.
• Inspections scheduling: request and schedule city/municipal inspections as required; confirm prerequisites; communicate outcomes and next steps.
• Invoicing & payment tracking: prepare invoice support, track client payments, and follow up on outstanding balances per company policy.
• Change orders: draft CO documentation, gather approvals, track status, and ensure COs are billed and paid.
• Crew attendance / performance tracking: collect daily/weekly field updates and flag issues to the Director of Operations.
• Pipeline support (as needed): track and follow up project-related leads/items in the company pipeline and ensure clean handoffs.
Schedule & Availability
Full-time. Monday–Friday, 8:00 AM–5:00 PM Pacific Time (PST/PDT), with a 1-hour unpaid lunch. You must have reliable internet and be able to join calls during Pacific Time business hours.
Required Qualifications
• 2+ years experience in project coordination, construction administration, or operations support (construction preferred)
• Excellent written English and professional client communication.
• Strong follow-through: you close loops and don’t let tasks stall.
• Comfortable coordinating multiple stakeholders and keeping records clean.
• Able to learn and enforce SOPs; comfortable with checklists and documentation.
• Reliable computer, headset, and stable internet suitable for video calls.
Preferred
• Experience supporting California residential construction (ADU, remodel, additions)
• Experience with permit/inspection scheduling and compliance documentation.
• Spreadsheet confidence (basic formulas, tracking logs).
• Experience with cost tracking, purchase orders, and change orders.
