We are an Australian-registered engineering and equipment supply company. We bid on Australian tenders — government, council, utility and private developer — for electrical and general equipment supply and engineering advisory work. We are a small, senior team. You will work directly with the Head of Procurement and own real bids from your first week.
THE ROLE
You will run our Australian tender pipeline end to end: find the tenders worth bidding, build the compliance documentation, get prices from suppliers around the world, calculate the delivered-to-site cost, and submit on time through the buyer's portal. Roughly half the work is documents and compliance; the other half is pricing — and the pricing half is the part we care most about.
WHAT YOU'LL DO
Find and qualify
- Monitor daily opportunities and screen them against our capability rules; write a one-paragraph BID / NO-BID recommendation covering scope, licensing gates, closing date, insurance and turnover thresholds, and local-content requirements.
- Maintain the opportunity tracker (Google Sheets) — every tender, status, deadline, owner, outcome.
Build the bid
- Build a compliance matrix mapping every mandatory requirement to where it is answered. Nothing unanswered, ever.
- Maintain the reusable library: capability statements, company profile, referee/past-project sheets, WHS and quality responses, insurance certificates, conflict-of-interest and modern-slavery declarations.
- Complete the buyer's response schedules exactly as issued — correct templates, file names, format. Register and manage submissions in buyer portals; track addenda; lodge questions before cut-off.
Price the bid (most important)
- Issue RFQs to manufacturers and distributors in Australia, Europe and North America; chase written quotes with lead times and validity dates.
- Build the landed cost: ex-works, Incoterm, freight, insurance, duty, GST, port and clearance, local delivery, currency exposure, warranty and spares — then apply our margin rules.
- Produce the priced schedule of rates / bill of quantities in the buyer's format, with a clean, auditable cost model.
- Flag commercial risk: fixed-price exposure over long lead times, liquidated damages, payment terms, retention, and price-validity mismatches.
After submission
- Log every outcome; request and record debriefs on losses; keep a running list of winning prices where known.
- Keep our registrations current: panels, prequalification schemes, supplier portals, ICN.
YOU MUST HAVE
- 4+ years in bid/tender, estimating, quotation or procurement — ideally for an electrical, industrial, engineering or construction supply business.
- Demonstrable experience preparing bids for Australian buyers, or another Western public-procurement market.
- Excellent written English. Ferocious attention to deadlines and detail — a missing signature or a late submission is an automatic zero.
- Reliable internet, own computer, and availability 8:00 AM – 5:00 PM PHT.
