JOB OVERVIEW

Full-Time / Long-Term Position
Australian HVAC Company – Melbourne, Victoria

We are a growing Heating, Ventilation & Air Conditioning (HVAC) company based in Melbourne, Australia, looking for a reliable and highly organised HVAC Estimator / Quoting Assistant to join our team remotely.

Your main responsibility will be to assist our sales and operations team with preparing accurate HVAC quotations from site information, plans, photos, technician notes and supplier pricing.

This is a long-term role with the opportunity to become an important part of our estimating and sales process.

Key Responsibilities
Prepare residential and commercial HVAC quotations
Review site inspection notes, photos and floor plans
Review architectural/mechanical drawings where provided
Complete basic quantity take-offs
Order materials - design plans.
Determine materials required for HVAC installations
Prepare quotes for:
Ducted reverse-cycle air conditioning
Split-system air conditioning
Multi-split systems
Gas ducted heating replacements
Evaporative cooling
HVAC service and repair work
Calculate material and labour requirements using our pricing structure
Obtain and organise supplier pricing
Enter and prepare quotations in Simpro
Ensure quotes include the correct equipment, materials, labour and scope of works
Follow our quoting templates and pricing procedures
Identify missing information before a quote is completed
Follow up internally with our salespeople/technicians when additional information is required
Maintain accurate records of quotes and pricing
Assist with quote revisions and variations
Help improve and document our estimating processes
Systems We Use

Experience with these is beneficial but not essential:

Simpro
Microsoft Excel / Google Sheets
PDF plans and construction drawings
Supplier price lists
Google Drive / Microsoft Office

Training will be provided on our specific systems and quoting processes.

Able to read plans, measurements and technical information

Able to follow detailed processes
Comfortable asking questions when information is missing
Reliable and consistent
Able to work independently
A strong English communicator
Interested in a long-term position

Previous experience in HVAC, mechanical services, construction estimating, quantity surveying, engineering, plumbing or electrical estimating would be highly regarded.

Australian construction or trade industry experience would be a major advantage.

Working Hours

We are based in Melbourne, Australia, so we require good availability during Melbourne business hours.

We are open to discussing the exact working schedule with the right candidate.

You do not need to know everything about Australian HVAC from day one.

We will provide training on:

Our pricing structure
Labour allowances
Materials
Ductwork and fittings
Supplier pricing
Quote templates
Simpro
Our internal estimating procedures

However, we want someone who is technically minded and can eventually prepare the majority of quotes with minimal supervision.
