About The Role
We are looking for a highly organized, proactive, and articulate Clinician Relations Virtual Assistant to serve as the critical operational bridge between our clinical team and internal operations. Your primary goal is to keep clinical operations running seamlessly by managing clinician communication, scheduling, credentialing support, and administrative follow-through.
This role requires superb organizational capabilities, diplomatic communication skills, and high attention to detail. You will ensure our clinicians feel supported, informed, and equipped to focus on patient care without operational friction.
This is not a basic administrative role. We need an autonomous problem-solver who can manage multiple operational workflows, maintain strict confidentiality, and handle professional relationships with clinicians with authority and grace.
Key Responsibilities
Clinical Coordination: Act as the main point of contact for clinicians regarding scheduling, calendar availability, assignment updates, and daily operational questions.
Operations Bridge: Facilitate daily alignment between the operations team and clinical providers to resolve workflow bottlenecks, system updates, and patient handoffs.
Administrative Management: Collect, organize, and verify clinical documentation, licensing, insurance credentialing files, and compliance records.
Workflow Oversight: Monitor clinical documentation submission timelines and proactively follow up with providers to maintain compliance and steady care velocity.
Process Optimization: Identify recurring communication gaps or operational friction points between clinical and ops teams and propose clear, practical improvements.
System Maintenance: Maintain accurate provider records, schedules, and notes across internal communication channels and operational software.
What We’re Looking For (Required Qualifications)
Exceptional written and spoken English communication skills with high professional polish.
Proven organizational skills, strong operational thinking, and rigorous attention to detail.
Ability to build trust and maintain professional, empathetic relationships with healthcare providers.
High autonomy: capable of managing complex schedules and follow-ups without constant supervision.
Reliable remote setup: high-speed internet, quiet workspace, and functional power/internet backups during outages.
Availability during US business hours (EST/PST).
Preferred Qualifications
Previous experience in virtual assistant roles, executive assistance, medical administration, or physician relations.
Experience in remote setups within fast-paced digital health, telehealth, or startup environments.
Hands-on familiarity with tools such as Slack, Google Workspace, EHR/EMR platforms, and project management tools (e.g., Asana, Notion).
General understanding of clinical workflows, HIPAA/privacy standards, or medical credentialing.
