We are seeking a professional and customer-focused Intake Calls Specialist to serve as the first point of contact for prospective and existing clients. This position will be responsible for answering incoming calls, gathering initial client information, identifying the nature of each inquiry, and ensuring callers receive a professional and welcoming experience.
The ideal candidate will have fluent English communication skills, excellent customer service abilities, strong attention to detail, and the confidence to communicate with individuals who may be dealing with sensitive legal matters. Experience in a law firm, legal intake, customer service, or administrative environment is highly preferred.
Key Responsibilities:
* Answer and manage incoming calls using the firm's Ooma VoIP phone system.
* Serve as the first point of contact for prospective clients and callers.
* Provide a warm, professional, and helpful experience on every call.
* Gather accurate information regarding the caller's needs, contact details, and reason for contacting the firm.
* Conduct initial client intake and document information accurately.
* Identify the appropriate attorney, department, or next step based on the nature of the inquiry.
* Schedule consultations and appointments as directed.
* Follow up with prospective clients when necessary.
* Enter and maintain client and intake information in Clio, the firm's practice management system.
* Maintain accurate and organized intake records.
* Respond to routine client questions professionally while recognizing when an inquiry should be escalated to an attorney or staff member.
* Handle sensitive and confidential client information with discretion.
* Follow established intake procedures, scripts, and escalation protocols.
* Communicate effectively with attorneys and administrative staff regarding new leads and client inquiries.
* Help ensure that no potential client inquiry is missed or left without appropriate follow-up.
* Maintain a high level of professionalism and customer service throughout every interaction.
Experience / Background
The ideal candidate should have:
* Previous experience in customer service, call center, client intake, receptionist, legal administration, or a similar role.
* Experience handling a high volume of inbound calls is strongly preferred.
* Previous experience in a law firm or professional services environment is a plus.
* Experience with CRM or practice management software is preferred.
* Familiarity with Clio is a plus, although training will be provided.
* Experience with VoIP phone systems is preferred; familiarity with Ooma is a plus.
* Strong ability to gather information accurately while maintaining a natural and professional conversation.
* Experience handling confidential or sensitive information is highly desirable.
