Role: Sales & Marketing Assistant
The Sales & Marketing Assistant is responsible for helping NC Stays consistently generate awareness, nurture potential clients, support the sales pipeline, and improve the systems that drive growth.
This person should be highly organized, comfortable using AI and technology, able to work independently, and willing to take ownership of recurring marketing and sales processes.
The goal of this role is not simply to "complete tasks." The goal is to build and maintain a repeatable sales and marketing engine that helps NC Stays grow.
Hours
M-F 8am-5pm Eastern United States Time (NOrth Carolina) w/ 1 hour lunch break
Responsibilities
1. Marketing
Social Media
Own the weekly social media publishing process across NC Stays' channels and accounts.
Responsibilities include:
Create, schedule, and publish content across:
Facebook
Instagram
LinkedIn
Manage posting across multiple brands/accounts as assigned.
Use GoHighLevel (GHL) as the primary social media scheduling and publishing platform.
Repurpose existing company content, podcasts, case studies, property information, and educational material into social content.
Maintain a consistent publishing calendar.
Track what content is performing and recommend ways to improve future content.
Copywriting
Create clear, useful, on-brand copy for NC Stays marketing.
This includes:
Social media posts
Email
Monthly newsletters
Podcast descriptions
Case studies
Sales and marketing collateral
Copy should educate potential clients, build trust, demonstrate NC Stays' expertise, and create opportunities for conversations with prospective owners.
Claude Marketing Agent
Own the maintenance and continuous improvement of the NC Stays Claude Marketing Agent.
Responsibilities include:
Use the agent regularly to assist with content creation.
Improve prompts, instructions, examples, and knowledge provided to the agent.
Identify recurring marketing work that can be automated or accelerated with AI.
Maintain the quality and consistency of the agent's outputs.
Build the agent into a repeatable marketing system rather than treating it as a one-time tool.
Podcast Production
Own the post-production and publishing workflow for the NC Stays podcast.
Responsibilities include:
Edit podcast episodes.
Prepare episode titles and descriptions.
Create supporting promotional content.
Upload and publish episodes to the appropriate platforms.
Repurpose each podcast into additional social and
Maintain an organized archive of podcast assets and published episodes.
2. Sales
CRM Management — GoHighLevel
Maintain a clean, accurate, and usable sales CRM.
Responsibilities include:
Organize contacts and opportunities in GoHighLevel.
Maintain proper pipeline stages.
Remove or merge duplicate records when appropriate.
Make sure opportunities have accurate notes, statuses, and next steps.
Identify leads requiring follow-up.
Maintain CRM hygiene so management can quickly understand the state of the sales pipeline.
Improve CRM processes and automation when opportunities are identified.
The CRM should always provide an accurate picture of:
Who our prospects are
Where they came from
Where they are in the sales process
What the next action is
Whether follow-up is required
Property Analysis & Underwriting
Analyze prospective short-term rental properties to support the sales process.
Responsibilities include:
Research prospective properties and markets.
Complete NC Stays' property underwriting process.
Evaluate revenue potential and major assumptions.
Organize comparable properties and relevant market data.
Prepare analysis in a format that can be easily reviewed by the sales team.
Flag unusual risks, opportunities, or assumptions requiring additional review.
The assistant is responsible for completing the initial analysis. Final investment or management projections may still require management approval.
Weekly Sales Reporting
Prepare a weekly sales report that gives leadership a clear picture of the pipeline.
The report should include, where applicable:
New leads
Qualified opportunities
Properties analyzed
Proposals or projections delivered
Follow-ups required
Opportunities won
Opportunities lost
Estimated pipeline value
Important pipeline changes
Key priorities for the following week
Case Studies
Create and maintain case studies demonstrating the results NC Stays produces for owners and properties.
Responsibilities include:
Identify strong case study opportunities.
Gather relevant property performance information.
Organize before-and-after results when available.
Write the case study.
Create versions that can be used in:
Sales conversations
Email
Social media
Website content
Presentations
Maintain an organized library of current case studies.
Results / Scorecard
Performance in this role will primarily be measured by consistent execution of the following outcomes.
Weekly
Content
Publish a minimum of 5 pieces of content per week across designated NC Stays marketing channels.
Podcast
Edit and publish 1 podcast episode per week.
Property Underwriting
Complete analysis/underwriting for 10 prospective properties per week, assuming sufficient properties are available for analysis.
Sales Reporting
Complete and distribute 1 weekly sales report with an accurate overview of the current pipeline and required follow-ups.
CRM
Maintain the GoHighLevel CRM with no materially overdue or unassigned sales opportunities and accurate pipeline stages.
Monthly
Newsletter
Create and distribute 1 NC Stays newsletter per month.
Case Studies
Create or materially update at least 1 sales case study per month.
Marketing Systems
Make at least 1 meaningful improvement per month to the Claude Marketing Agent, marketing workflow, automation, content process, or CRM system.
Definition of Success
This role is successful when:
NC Stays is consistently publishing useful content without leadership having to manage the publishing process.
Every podcast episode moves from recording to published content consistently and on schedule.
Prospective properties can be analyzed quickly enough that underwriting does not become a bottleneck in the sales process.
GoHighLevel accurately reflects the current state of every meaningful sales opportunity.
Leadership receives a simple, reliable weekly picture of sales activity and pipeline health.
NC Stays develops a growing library of content and case studies that demonstrate expertise and make future marketing easier.
The company's AI and marketing systems get better over time instead of requiring the same manual work every week.

Rewards / Compensation
Compensation: $800/month USD
Performance Incentives:
Compensation and responsibilities may be reviewed as the role and NC Stays' sales and marketing systems grow.
