Job Description
Designation: Medical Records Specialist
Department: Legal/Healthcare Support
Reports To: Case Manager / Managing Attorney

Purpose:
The Medical Records Specialist is responsible for accurately organizing, managing, and securing patient health records in accordance with legal, ethical, and institutional standards. This role ensures all medical documentation is up‑to‑date, complete, and accessible for healthcare providers, billing departments, and regulatory audits. The specialist supports the legal and clinical teams by retrieving records promptly, maintaining confidentiality, and ensuring compliance with HIPAA and healthcare data regulations.

Qualifications
Education & Experience

- Experience in legal case management, administrative support in a law firm, or medical billing and records handling is highly beneficial.
- Familiarity with legal platforms such as Filevine and communication tools like Glip is a plus.
- Previous experience working with medical records, billing statements, and legal documentation is preferred.

Professional Competencies

- Ability to effectively report to Case Managers and escalate concerns to Managing Attorneys.
- Proficient in requesting, reviewing, and organizing medical records, bills, and liens while maintaining accuracy and confidentiality.
- Knowledge of medical billing and client financial responsibility, ensuring clarity and timely payments or lien tracking.
- Skilled in updating and maintaining documentation such as Medical Records Checklist (MRC), Medical Records Tracker (MRT), and Cost Ledger (CL).
- Strong attention to detail when verifying the accuracy and completeness of records.
- Provides clear, timely updates to case managers using platforms like Glip and Filevine, with the ability to prioritize urgent cases.
- Knowledgeable in interpreting and managing documentation involving both legal and healthcare content.
