Position Overview
We are seeking a full-time Client Service Officer to join our team in a remote capacity from the Philippines. This role will support our clients and prospects throughout their journey, from initial enquiry and consultation through to Client Agreement signing and onboarding.
The ideal candidate will have previous experience in client service, customer service, administration, coordination, or a similar client-facing role. Strong English communication skills, attention to detail, organisation, and the ability to manage multiple enquiries and follow-ups are essential. Experience in a legal, immigration, or professional services environment is highly desirable. As this is a full-time remote role, strong self-management and a reliable home office setup are also essential.
Key Responsibilities
• Serve as the first point of contact for inbound client and prospect enquiries via phone,
• Respond to enquiries promptly and professionally, qualify leads, understand their needs, and provide clear and accurate information about the firm’s services and consultation process.
• Proactively follow up with leads and prospects, monitor unbooked enquiries, and ensure no lead is left without appropriate follow-up.
• Coordinate and track consultations from booking through to completion, including relevant client communication and follow-up.
• Prepare and send professional post-consultation summaries based on the lawyer’s instructions, and maintain accurate records of consultation outcomes.
• Follow up with prospects after consultations, support the Client Agreement process, and track outstanding agreements through to signing.

• Assist with client onboarding, including maintaining accurate client records, creating electronic files, and following up on outstanding information or documentation.
• Maintain accurate and up-to-date information across our CRM system, Migration Manager, and other firm systems, and support administrative tasks relating to client matters.
• Work collaboratively with lawyers, legal assistants, management, and the wider administration team to maintain smooth workflows and a high standard of client service.
• Contribute to improving client communication, follow-up processes, systems, and overall efficiency, while adapting to changing business needs.
What We’re Looking For
• Previous experience in client service, customer service, administration, coordination, or a similar client-facing role.
• Excellent written and verbal English communication skills, with strong attention to detail and the ability to communicate clearly and professionally.
• Strong organisational and time-management skills, with the ability to manage multiple enquiries, follow-ups, and administrative tasks efficiently.
• A warm, empathetic, and client-focused approach, with the ability to build positive relationships and handle challenging or sensitive conversations professionally.
• Proactive, adaptable, and willing to learn, take initiative, receive feedback, and continuously improve.
• High level of integrity, confidentiality, and professionalism, with the ability to handle client and prospect information with discretion and care.
• Strong IT literacy and confidence using online systems and digital tools; experience with Hubspot, Migration Manager, or case management systems is highly desirable.
• Experience in a legal, immigration, or professional services environment is highly desirable, together with a reliable home office setup and stable internet and power connection.
